Job Description

Maddin Hauser Roth & Heller is seeking a Client Relations Manager to join our accounting team. This role serves as a key liaison between the firm, attorneys, and clients to promote a positive client experience while supporting the firm’s collection efforts. This individual is responsible for proactively communicating with clients regarding billing practices and payment options, monitoring accounts receivable activity, and partnering with attorneys and firm leadership to address outstanding balances in a professional and client-focused manner.

The ideal candidate combines excellent communication and relationship-building skills with strong financial acumen, discretion, and persistence.

Key Responsibilities

· Contact new clients following engagement to explain the firm’s billing practices, invoicing procedures, and available payment options.

· Serve as a resource to clients by answering questions related to invoices, payment methods, and account status.

· Establish and maintain positive working relationships with clients while reinforcing the firm’s expectations regarding timely payment.

· Monitor client payment activity and accounts receivable reports to identify trends, potential concerns, and delinquent accounts.

· Proactively follow up with clients regarding outstanding invoices in a courteous and professional manner.

· Partner with attorneys to develop and implement appropriate collection strategies for past-due accounts.

· Work closely with the Chief Administrative Officer to review and manage aged accounts receivable and prioritize collection initiatives.

· Negotiate and recommend payment arrangements when appropriate and document agreed-upon payment plans.

· Maintain accurate records of client communications, collection activities, and account notes.

· Prepare semi-monthly and monthly reports regarding accounts receivable aging and collection efforts.

· Maintain strict confidentiality regarding client information and financial matters.

· Perform other related duties as assigned.

Qualifications

· Associate’s degree required; bachelor’s degree in business, accounting, finance, communications, or a related field preferred.

· Minimum of three to five years of experience in accounts receivable, collections, client relations, legal billing, or a related field.

· Experience in a law firm or other professional services environment strongly preferred.

· Working knowledge of the Fair Debt Collection Practices Act and other applicable federal and state law and regulations governing debt collection, consumer protection, and billing practices, or the ability to quickly develop such knowledge.

· Demonstrated ability to communicate effectively and diplomatically with clients, attorneys, and staff at all levels.

· Strong customer service orientation with the ability to balance relationship management and accountability.

· Excellent verbal and written communication skills.

· Strong organizational skills and attention to detail.

· Ability to manage sensitive conversations with professionalism, tact, and discretion.

· Ability to remain calm, composed, and professional while maintaining a firm, respectful, and resolute approach in challenging and sometimes high-conflict situations.

· Proficiency with Microsoft Office applications and accounting or practice management software.

· Ability to analyze reports, prioritize workload, and manage multiple responsibilities effectively.

· Sound judgment and the ability to handle confidential information appropriately.

Pay: $65,000.00 - $70,000.00 per year
