Project Coordinator / Billing & Office Administrator
Phoenix, AZ
Pay: $20–$25/hour (depending on experience)
Schedule: Monday – Friday | Day Shift

Madden Industrial Craftsmen, a premier staffing agency with over 30 years of experience placing skilled professionals, is seeking a Project Coordinator / Billing & Office Administrator for a growing construction company in Phoenix, AZ.
This is a hybrid role combining project coordination, construction billing, and office administration. The ideal candidate is highly organized, detail-oriented, and confident in communicating with project teams, vendors, and leadership in a fast-paced construction environment.
What You’ll Be Doing
- Support Project Managers with project coordination, documentation, and day-to-day operations
- Process and prepare invoices, billing documentation, and purchase orders
- Track project billing, job costs, and financial records
- Coordinate with project teams regarding project updates, timelines, and documentation
- Maintain and organize project files, contracts, COIs, and compliance documents
- Assist with Accounts Payable and Accounts Receivable processes
- Serve as a point of contact between office staff, field teams, vendors, and clients
- Assist with scheduling, communication, and general office operations
- Support leadership with administrative and project-related tasks as needed
What We’re Looking For
- 2 years of experience in construction project coordination, billing, or office administration
- Strong understanding of invoicing, purchase orders, and construction documentation
- Ability to work in a fast-paced, team-oriented environment
- Strong communication skills and professional presence
- Highly organized with strong attention to detail
- Proficient in Microsoft Office (especially Excel)
- Ability to multitask and support multiple projects
Preferred Qualifications
- Experience in the construction or contractor industry
- Familiarity with Procore, QuickBooks, Salesforce, or similar systems
- Experience with COIs, lien releases, or project documentation
- Associate’s or Bachelor’s degree in Business, Accounting, or Construction Management
- Bilingual is a plus
