About The Role
We are seeking a detail-oriented and proactive People Services and Recruitment Assistant to join our US People team. This role will play a critical part in delivering high-quality administrative and recruitment support to colleagues and hiring managers across the US and Canada. The successful candidate will assist with a variety of transactional People processes, ensuring compliance, accuracy, and efficiency in day-to-day operations.
The purpose of the People Services and Recruitment Assistant role is to provide timely and accurate administrative support and coordinated transactional services, alongside essential recruitment coordination and candidate engagement activities. The role is fundamental in delivering service excellence and ensuring an exceptional experience for both candidates and hiring teams.
The successful candidate will consistently provide triage support, practical advice, and workable solutions to Macro colleagues. This includes handling queries and managing support requests via telephone, face-to-face interactions, email, centralised inboxes, and People Connect tickets. Guidance should be provided in line with Macro policies, escalating complex matters through the appropriate channels when necessary.
Working proactively with People team colleagues, line managers, and employees at all levels, the role holder will take ownership of interactions and see each query through to its final resolution.

Main Responsibilities Will Include
- Provide timely and accurate administrative support throughout the employee lifecycle, including onboarding, transfers, contract changes, and offboarding.
- Assist in maintaining People systems and records (e.g. Sage), ensuring data accuracy, integrity, and confidentiality.
- Respond to employee queries regarding People policies, benefits, and procedures in a professional and service-oriented manner via email, telephone, and our internal ticketing system, People Connect.
- Generate standard People documentation and correspondence, including contracts, reference letters, offer letters, promotion letters, and probation confirmation letters.
- Collaborate with external payroll and benefits providers, IT, and other internal teams to ensure seamless employee onboarding and offboarding experience.
- Maintain digital People files in line with GDPR and applicable local data privacy regulations.
- Schedule interviews, assessments, and feedback sessions, and manage candidate communication throughout the recruitment process.
- Post vacancies on relevant job boards, internal systems, and social media platforms, and support applicant tracking and data entry within our recruitment system (ATS).
- Ensure a professional and timely experience for all candidates by providing updates, responding to enquiries, and coordinating pre-employment checks and onboarding documentation.
- Maintain a high standard of communication throughout the candidate journey from application to onboarding.
- Assist in identifying potential candidates through LinkedIn, job boards, and talent databases. Maintain and update talent pipelines for recurring and future hiring needs.
- Support inclusion-focused outreach and community engagement initiatives.
- Prepare weekly recruitment reports and dashboards.
- Ensure that all candidate records and recruitment activities are accurate, up to date, and compliant with company policies and US employment legislation.
- Assist in document collection and filing activities to ensure audit readiness.
The ideal candidate will have:
- Previous experience in an HR Assistant role and/or recruitment coordination, ideally within a multinational environment.
- High attention to detail with strong organisational and time management skills.
- Proficiency in MS Office applications (Excel, Word, Outlook); experience with HR systems such as ADP and Sage would be advantageous.
- Excellent written and verbal communication skills, with the ability to interact confidently with colleagues across different regions.
- The ability to handle confidential information with discretion and professionalism.
- Strong organisational skills and the ability to work effectively to deadlines.
- A proactive, team-oriented approach, with the ability to work independently and perform well under pressure.
