Executive Director of the Office of the Provost NBU

Job Function
In collaboration with the Learning Council and under the limited direction of the Provost and Vice President of the Learning Unit, serves as the operations lead for the Office of the Provost. Supports the Provost through effective oversight and leadership of day-to-day operations and implementation of Learning Unit strategies, projects, and initiatives. Proactively and independently manages a diverse portfolio of projects, while being responsive to internal and external stakeholders. Must function in a highly competent, confidential, and professional manner commensurate with the Office of the Provost.

Job Responsibilities
  • Under the limited direction of the Provost, serves in a leadership role to ensure the successful operation of the Learning Unit and implementation of strategic initiatives.
  • Must be able to work independently to resolve problems and perform job duties based on knowledge of the College culture, structure, policies, and procedures.
  • Expected to have or gain in depth knowledge of the Learning Unit, College operations, and partner organizations.
  • Ability to collaborate and gain the cooperation of others, as well as the ability to manage time and people.
  • Must handle information requiring guarded access, so a high level of sensitivity and confidentiality is required.
  • Serves as the primary administrative liaison between the Office of the Provost and internal and external constituencies.
  • Provides oversight for implementation of strategic plan initiatives assigned to the Learning Unit including preparing progress reports.
  • Serves as the primary liaison between the Office of the Provost and Institutional Research to ensure data needs for informed decision making are met.
  • Represents the interests of the Provost and the Learning Unit on internal and external committees as assigned. Keeps Provost and Learning Council well informed and proactively seeks input and feedback.
  • In collaboration with the Director of Accreditation, supports accreditation processes and requirements as assigned.
  • In collaboration with the Manager of the Office of the Provost and/or Learning Council members, oversees the planning and implementation of large meetings and events hosted by the Learning Unit.
  • Oversight of standard operations and procedures of the Learning Unit—including but not limited to—budgets, renovation projects, full-time recruiting and hiring processes, curriculum management, class schedule build, college catalog, enrollment management, etc.
  • Develop, collect, edit, write, and disseminate clear and concise communications on behalf of the Provost as assigned.
  • Participates in contract negotiations preparation and processes.
  • Participates in strategy sessions involving implementation of changes to relevant collective bargaining agreements.
  • In collaboration with Human Resources, supports the Provost and Learning Council with collective bargaining agreement compliance. Collects information and identifies relevant language for all questions and inquiries regarding labor contract implementation and compliance.
  • Efficiently and effectively manages special projects as assigned by the Provost.
  • In collaboration with the Provost, hires, trains and evaluates staff.
  • Serves as Learning Unit liaison for the Clery Act and campus security matters.
  • Prepares ad hoc reports as assigned.
  • Other duties as assigned.

SUPERVISION RECEIVED: Reports to the Provost and Vice President of the Learning Unit.

SUPERVISION GIVEN: May supervise full- and part-time employees, as assigned.

Education
Master’s degree required

Preliminary Qualifications
Three or more years of experience related to the functions and responsibilities of the position. Academic affairs experience preferred.

Knowledge and understanding of the community college structure, mission, policies and procedures, and the regulatory environment within which they operate. Experience successfully working in a union environment. Exemplary interpersonal and collaboration skills. Exemplary written and verbal communication skills. Must be proactive and self-directed. Ability to implement long-term projects while adjusting quickly to emerging circumstances. Proven ability to plan, initiate, research, organize, and direct the responsibilities of the position. Ability to perform complex tasks and to prioritize multiple projects. Proficiency in technical and computer skills.

Working Conditions/Physical Demands
Working hours may vary and may include occasional evenings and weekends. Duties may require travel between campuses and to off-campus locations. While remote work may be available, it is limited.


Work Hours
Office hours are generally between 8:00 am – 5:00 pm Monday thru Friday. Hours may vary and include some evenings and weekends. Travel between campuses and offsite may be required.
