Title: Scheduling Coordinator
Reports to: Compliance Manager & CEO
JOB SUMMARY:
To undertake various tasks such as scheduling Direct Care Staff to service individuals in CRA & CLS homes and Natural homes for CAI services. To be the primary point of contact for DCS scheduling. A scheduling coordinator must be an excellent communicator to inform the House Managers, Individuals as well as DCS in advance whenever staff is unavailable and be able to provide coverage when/if applicable, and foster relationships with both DCS and Support Coordinators to get the desired outcome. The goal is to ensure that the company’s staffing requirements are always met and DCS works in a friendly, supportive environment. Scheduling Coordinator must maintain DCS and individual confidentiality at all times. Job description and responsibilities are subject to change.

1. Develop work schedules by allocating DCS in shifts and positions.
2. Assume responsibility for timekeeping and time off request.
3. Collaborate with the payroll process to ensure correct employee compensation.
4. Support applicant screening and hiring process.
5. Oversee all staffing needs of the company.
6. Verify shifts and update records in the Rosemark system. (including verification of hours worked and weekly payroll).
7. Cross-train with all individuals, Houses, and all departments. Including but not limited to Proxy training, and Mind-Set training.
8. Ensure compliance with internal and external policies as it pertains to DCS credentials.
9. Conduct calls to Individuals, family members, and Support Coordinators if/when there is a change or otherwise.
10. Facilitate placement of DCS in homes after the hiring process is complete.
11. Assist new DCS with setting up the Rosemark mobile app and making name badges.
12. Assist with scanning Service Records, Progress notes, and/or company documents.
13. Assist with weekly payroll when needed.
14. Staff out all Shifts for upcoming months on Rosemark for all service types.
15. Conduct meet and greet with DCS and new individuals.
16. Take after-hours and weekend calls to ensure staff call-outs are covered with replacement.
17. Maintain DCS training in Relias.
18. DCS call out, No-show doctor appointment, etc. MUST be documented in Rosemark at all times to ensure all events and occurrences are captured
PERFORMANCE STANDARDS:
1. Adhere to Mack Lander LLC policies and procedures.
2. Any significant changes in an individual’s status must be communicated to the Director of
Clinical Services/DDP Director and/or Support Coordinator.
3. All compliance deadlines must be adhered to and documented.
4. Personal credentials must be current at all times.
Qualifications
- Strong communication and interpersonal skills
- Proficiency in Microsoft Office Suite, particularly Excel and Word
- Experience with human resources functions, including talent acquisition and employee evaluation
- Knowledge of employment and labor laws, including FMLA
- Ability to manage multiple tasks and prioritize effectively
- Familiarity with human capital management systems such as Workday or Oracle HCM
- Strong analytical and time management skills

Pay: $21.00 per hour
