Role Description

This is a full-time, on-site position located in Tampa, FL. The Proposal Manager will oversee the end-to-end proposal lifecycle, from strategy development through submission, ensuring the delivery of high-quality, compelling, and compliant proposals for prospective clients. This role partners closely with cross-functional teams to gather content and insights, manage proposal schedules, and ensure adherence to solicitation requirements. The Proposal Manager plays a critical role in winning new business by aligning proposals with company objectives and client needs, while also driving continuous improvement and modernization of the proposal development process to enhance efficiency and scalability.

Responsibilities

• Work with customers’ technical requirements and requests and write and corresponding proposals that meet their needs
• Meet and collaborate with Mach Alert and client leadership, sales, and technical teams to gather accurate content
• Modernize and streamline the proposal processes to improve efficiency and accuracy (by creating AI tools)
• Ability to identify inefficiencies and apply AI enabled tools or workflows to improve proposal development timelines
• Ensure proposals are compliant, professional, and meet submission deadlines
• Maintain and update proposal templates and content libraries, and track proposal performance and outcomes
• Continuously improving proposal quality based on internal and client feedback
• Occasionally write and manage high-quality proposals, RFP/RFQ responses, and support documents
• Attend conference call meetings and gather details for proposals
• This role is primarily focused on proposal writing, with limited additional responsibilities including the creation of product data sheets and select marketing materials

Qualifications/Experience

• Expertise in MS Suite tools required
• Proven experience writing winning proposals (B2B, SaaS, public sector agencies, or enterprise preferred)
• Strong skills in Proposal Development, Proposal Writing, and ensuring compliance with solicitation requirements
• Project management capabilities, including managing timelines and coordinating cross-functional teams
• Proficiency in business communication, writing, and editing to deliver clear and concise content
• Experience in analyzing client requirements and developing tailored strategies
• Experience using AI tools and templates to support proposal development a plus
• The ability to communicate clearly and professionally with diverse stakeholders
• Ability to work closely with technical subject matter experts to grasp key technical concepts and translate them for non-technical clients
• Experience with technical RFPs/RFIs is a strong plus
• Strong attention to detail and deadline management
• Self-motivated and comfortable owning the proposal process
• Ability to thrive in a dynamic and fast-paced environment, demonstrating excellent organizational skills
• Familiarity with fire station alerting systems, public safety technologies, or related fields is a plus
• Bachelor's degree in Business Administration, Communications, or a related field is preferred
