Company and Job Summary:
M2 is a highly interactive team with an extensive history supporting government, defense, and aerospace programs. The Document Control Specialist plays an important role in maintaining the integrity, accuracy, and accessibility of controlled documents while supporting compliance with quality and security requirements. This position is primarily responsible for technical document control and quality system support (approximately 75%), with secondary administrative responsibilities (approximately 25%).
The ideal candidate is highly organized, detail‑oriented, proactive, and comfortable working in an evolving environment.
Key Responsibilities:
Document Control (Primary – 75%)
- Follow established document control requirements in accordance with the Quality Management System (QMS), AS9100/ISO 9001 standards, customer specifications, and internal procedures.
- Verify proper marking, storage, transmission, and protection of Controlled Unclassified Information (CUI) in compliance with NIST 800‑171 and internal security procedures.
- Support internal and external audits by preparing document packages, retrieving records, and ensuring audit readiness.
- Coordinate document creation, review, approval, release, revision, and archival using established processes.
- Maintain version control to prevent unauthorized use of obsolete or superseded documents.
- Participate in periodic system audits and clean‑ups to ensure data integrity, consistency, and compliance.
- Prepare, issue, and track document transmittals, submittals, and project deliverables to internal and external stakeholders.
- Maintain detailed logs of document movements, approvals, and distribution history.
- Provide project teams with timely access to controlled documents and technical data.
- Provide training and user support on document control systems, workflows, and quality standards.
- Participate in root‑cause analysis and corrective actions related to documentation issues.
- Contribute to the development, improvement, and implementation of document control procedures, forms, and best practices.
- Delivery and maintenance of documentation within a shop floor environment.
- Other duties as assigned.
Administrative Support (Secondary – 25%)
- Provide administrative support to project teams, including formatting documentation, preparing meeting materials, and coordinating travel when needed.
- Assist with training employees on document control procedures and processes.
- Support meeting logistics, including agendas, minutes, and action item tracking.
- Maintain and organize records, files, and other documents, ensuring accuracy and confidentiality.
- Provide backup support to the office manager.
- Assist with travel arrangements.
- Other duties as assigned.
Knowledge, Skills & Abilities:
- Working knowledge of quality documentation processes and standards, including how documents, records, procedures, and compliance requirements are interconnected.
- Ability to pass a criminal background check, handling Controlled Unclassified Information (CUI).
- Strong understanding of document control principles and QMS requirements.
- Ability to work under pressure while meeting multiple deadlines and competing priorities.
- Ability to analyze problems and recommend solutions.
- Ability to anticipate next steps in quality documentation workflows and proactively take appropriate action.
- Excellent written and verbal communication skills.
- Ability to work independently, take initiative, and support continuous improvement.
- Strong collaboration skills and ability to effectively communicate with internal and external customers.
- Comfortable working in evolving environments and supporting organizational change.
- Ability to carry and maneuver up to 10 lbs.
Experience and Education:
- Must be a U.S. citizen
- 2-4 years of experience in a Document Control Specialist or Quality Records role.
- 1-3 years of experience in an administrative support role.
- Experience working in aerospace, defense, manufacturing, or other regulated environments preferred.
- Proficient in Microsoft Office Suite (Word, Excel, Access), Adobe Acrobat, and database‑driven applications.
- Experience with Quality Management Systems and handling sensitive or controlled information.
- Associate degree in a related field preferred but not required.
Pay: $25.00 - $27.00 per hour
