We are looking for a Office Administrator in 2835 N Oak Grove, Springfield, MO 65803 USA. Your mission will be to:
The incumbent is responsible for providing administrative support to the laboratory and business operations. Assigned functions include preparing reports and compiling search data and analysis on current trends to aid local leadership and functions include filing, scheduling, typing, and answering phones.

Qualifications Required
Profile: 6 months plus experience in an office environment.
Skills: Word processing and spreadsheet skills are necessary to enter account information and produce reports. Intermediate computer skills. MS Office Suite experience. Enterprise resource planning ERP software experience. Written communication skills are needed for proofreading and letter writing tasks. Knowledge of office machines for regular usage and for helping other employees. Time management and planning skills are helpful to accomplish tasks within set time constraints. Client relation skills are necessary for extensive communications with the leadership team and clients.The incumbent completes multiple assignments that have specified time constraints.Difficulties, such as fulfilling special needs of internal clients, require budgeting time and prioritizing tasks on a daily basis.Problems are solved using previous experience and established company procedures.Work is commonly interrupted for a higher priority task.Unique or unusual problems may be answered with the help of the supervisor.Resourcefulness is needed in finding solutions to processes when support is not on site.Projects of a long-term nature may be assigned that require organization and perseverance to meet timelines.This position works independently with multiple interruptions.Priority and urgency of projects is usually determined by the position.Many of the documents are detailed with the most accurate and current information found in the industry and in company practices that includes search data and analysis, industry trends, and calculations of information for reports and presentations to be used throughout the company.Work priorities may change and the position should be able to adapt to those changes.General problems can be resolved using previous secretarial and problem-solving experience or asking the supervisor or other staff members.More unique or unusual problems may be resolved by conferring with the supervisor. Essential Functions And Responsibilities
- Provide administrative support to assigned functions including personnel located offsite.
- Coordinates both internal and external visitors.
- Receive, screen and direct incoming telephone calls for assigned personnel and serve as a resource for client and company inquiries as needed.
- Responsible for managing incoming mail and packages.
- Manage or assist in event planning for a wide variety of office events, including ordering catering.
- Manage conference room availability and conference set up needs.
- Perform administrative tasks such as ordering supplies and maintaining equipment by working with outside vendors both during and outside normal work hours (this includes overseeing lab coat and lab shoe programs and working with respective vendors).
- Make necessary meeting and travel arrangements for laboratory personnel.
- Produce written correspondences utilizing a combination of word processing, spreadsheet, database, calculations, and desktop publishing computer software.
- Maintain and update manual filing and storage systems to ensure timely document retrieval. Coordinate record retention and disposal for the laboratory.
- Maintain knowledge of Laboratory Information Management System (LIMS) that is required to complete job responsibilities.
- Manage local onboarding and orientation for new employees.
- Communicates necessary information to the laboratory personnel, including the use of digital signage, email and bulletin boards.
- Perform local JDE functions and is the JDE onsite expert. This includes invoice review, invoice processing, purchasing card management, manual billing, warehouse stocking and inventory.
- Responsible for support and troubleshooting with the local time clock system.
- Perform other related duties as needed.
