Position Summary:

The Inside Sales Representative is M&M Quality Grinding's key contact for our stakeholders (customers, partners, prospects customers), they ensure that all touchpoints between our organizations are positive, professional and provide value.

They are an ambassador for the company, focused on helping the company to deliver positive messaging, responding quickly to all stakeholder interactions. As a front-line communications expert, they shape the first impression and ongoing experience with M&M Quality Grinding Inc. As such, they provide excellent information to our organization for improving our processes and interactions to create the best possible outcomes.

Job Requirements:

  • Ability to clearly and quickly convey information verbally and in writing to customers, internal teams, and external partners.
  • Excellent problem-solving abilities: the candidate must be comfortable probing for clarification to assess customer needs effectively.
  • Mastery of technology: the candidate will spend a considerable part of each day using Microsoft Office, a complex ERP system, and various proprietary tools/software.
  • Highly organized and detail-oriented: the ability to document all customer interactions and navigate a detailed CRM is necessary for success in the role.
  • Stay on top of multiple projects and daily activities while responding to customers in a timely manner in order to meet expected deadlines
  • The ideal candidate will remain calm and flexible while handling changing requirements and situations, both within the company and externally.
  • Strong attention to detail to ensure consistency in all customer and partner interactions.
  • Strong knowledge of our core capabilities and services to be able to answer general questions from customers and partners quickly.
  • Comfortable with tracking and analysis of data to look for opportunities for improvement.

Primary Responsibilities:

  • Manage new customer, part, and order entry into our ERP system (GlobalShop) with accuracy and efficiency.
  • Assist with critical customer interactions, including invoicing, delivery notifications, RMA (Return Material Authorization), RFQ (Request for Quote), and quoting processes.
  • Attend all Production Meetings to provide updates to internal teams and relay key information to customers.
  • Maintain proactive communication with customers and internal teams regarding schedules, questions, issues, annual volumes, release quantities, packing and shipping requirements, and additional order details.
  • Ensure clear and precise documentation of customers' needs, issues, and resolutions within ERP, CRM, dashboards, and order files for future reference.
  • Compile reports and work instructions to track, monitor, and improve internal processes and performance.
  • Maintain organized and up-to-date customer files, server records, and all documentation related to orders and communications.
  • Provide project assistance across Purchasing, Accounting, Production, Quality, Engineering, and Sales as needed.
  • Identify and lead Continuous Improvement initiatives to enhance customer experience and internal efficiency.
