The Air Freight Sales & Operations Coordinator ensures that every general and air freight move reflects this promise. This role supports both sales and operations by facilitating the efficient, secure, and timely movement of air and general cargo from origin to destination. The coordinator plans and coordinates logistics, maintains regulatory compliance, communicates with customers and partners, and supports the growth of the air freight division. This position combines resources in the safest, most cost-effective, and aloha-driven manner to meet the needs of our customers and uphold M. REQUIREMENTS

Minimum Qualifications:

  • At least 21 years of age
  • TSA approved or TSA-eligible, with approval obtained within the first 30 days.
  • Minimum 2 years of logistics coordination, dispatching, air freight, or transportation experience.
  • Knowledge of DOT regulations and basic air freight compliance requirements.
  • Previous sales or customer service experience within freight, logistics, or transportation.
  • Associate or Bachelor’s Degree in Business, Accounting, Finance, or Marketing preferred.
  • Experience with TMS, WMS, and ERP systems preferred.
  • Clean driving record with current valid driver’s license.
  • Ability to obtain and maintain forklift certification in accordance with company policy and safety standards.
  • Strong communication, follow-up, and customer service skills.
  • Highly organized, detail-oriented, and able to manage multiple priorities under time pressure.
  • Ability to collaborate daily with 10 drivers, operational staff, and external partners.
  • Ability to travel locally and interisland on an occasional basis to support operations, customer needs, or partner visits.

Pre-Employment Requirements

  • Ability to pass all company pre-employment checks, which include:
    • Criminal background check
    • Motor Vehicle Record (MVR)/driver history review
    • Medical Examiner certification and eligibility for PUC card
    • Pre-employment drug testing, with ongoing compliance with company's substance-free workplace policies

ESSENTIAL FUNCTIONS & RESPONSIBILITIES

Air Freight Coordination & Operations (Accountability Teamwork)

  • Coordinate the end-to-end movement of air freight shipments, ensuring timely pickup, proper packaging, and smooth handoff to carriers.

  • Monitor shipment status before, during, and after transit, including pre-pack follow-up and confirming totals, weights, costs, and delivery ETA.
  • Communicates expected cargo arrival times and delays to customers and internal teams.
  • Ensure accurate and complete documentation, including TSA-required IDs, customs forms, agriculture paperwork, insurance documentation, POAs, and payment authorizations.
  • Maintain compliance with TSA, DOT, IAC requirements, and all federal/state regulations.
  • Assist in clearing cargo with U.S. Customs, State Agriculture, and other relevant agencies.
  • Investigate service issues, damages, or delays and report findings promptly to management.
  • Inventory management and shipment handling.

Sales Support & Customer Service (Ohana Growth)

  • Provide quotes for air freight services and support sales initiatives to grow the air freight division.
  • Build and maintain strong relationships with customers, carriers, and partners to reinforce our M. Dyer Global’s aloha-driven service culture.
  • Follow up with customers proactively and respond to inquiries with professionalism and care.
  • Identify opportunities to upsell or enhance services or recommend additional solutions based on customer needs and company capabilities.

Network Development & Process Improvement (Growth Accountability)

  • Assist in developing and strengthening M. Dyer Global’s nationwide and inter-island air network.
  • Evaluate pricing, transportation costs, profitability, and operational efficiency for air freight services.
  • Recommend enhancements to workflows, routing, technology use, and customer communication.
  • Support implementation of new tools, SOPs, and process improvements across the department.

Cross-Department Collaboration (Teamwork Ohana)

  • Work closely with Sales, Operations, Warehouse, and Accounting to ensure alignment on customer needs and timelines.
  • Coordinate with Dispatch daily regarding pickups, crew assistance, resources, and prioritization.
  • Maintain strong relationships with carriers, destination agents, and service providers.

Billing & Administrative Support (Accountability)

  • Prepare, bill, and collect charges for all air freight services.
  • Maintain complete and accurate shipment files, documentation, and internal system updates.
  • Support audit readiness, data accuracy, and compliance reporting.

PHYSICAL AND WORK ENVIRONMENT

  • Regularly uses a computer, phone, and other standard office and warehouse equipment.
  • Frequently sits, stands, walks, talks, and hears in an office and warehouse environment.
  • Occasionally moves pallets, freight, and material-handling equipment within the warehouse, yard, and loading areas.
  • Occasionally lifts, carries, pushes, or pulls items up to 70 pounds; seeks assistance for bulk or heavy items.
  • May be exposed to outside weather conditions when inspecting, checking, or handing off freight.
  • Works around moderate to high noise levels when near forklifts, trucks, and other power equipment.
  • Must maintain good vision for driving, computer work, and reviewing documentation.
  • Works in a substance-free workplace and must comply with all company safety and drug/alcohol policies.

WORK SCHEDULE, COMPENSATION, & BENEFITS

Work Schedule

  • Status: Full-time, non-exempt
  • Schedule: Monday – Friday, 7:30am – 4:30pm, with occasional evenings or weekends based on operational needs.

Compensation

  • Pay: Hourly, $21.75 per hour

Introductory Period & Employment Relationship

There will be a 90-day introductory period. A performance review is typically conducted at or before 90 days to evaluate progress, clarify expectations, and determine continued employment and any applicable wage adjustments.
