Office Manager / Bookkeeper
Trucking & Construction Materials Company
Full-Time | [Swansea, MA]
We are seeking a highly organized and experienced Office Manager / Bookkeeper to oversee the financial and administrative operations of our growing trucking and construction materials business. This position plays a critical role in managing accounting, regulatory compliance, and daily office operations within a fast-paced aggregate hauling and trucking environment.
The ideal candidate has strong QuickBooks experience and working knowledge of the trucking industry, including commercial insurance, DOT compliance, and fuel tax reporting.
Key Responsibilities
Accounting & Financial Management
- Manage company bookkeeping using QuickBooks
- Process accounts payable and accounts receivable
- Prepare weekly and bi-weekly payroll
- Reconcile bank and credit card statements
- Maintain financial records and assist with tax preparation
- Coordinate with accountants and financial institutions
- Monitor cash flow and manage company banking transactions
Trucking & Industry Compliance
- Maintain compliance with DOT regulations
- Prepare and submit MCS-150 filings
- Manage IFTA reporting and fuel tax filings
- Handle commercial vehicle permits and registrations
- Maintain records for DOT annual and biennial compliance requirements
- Manage FMCSA Clearinghouse reporting
- Oversee driver drug testing program and chain-of-custody documentation
Insurance & Fleet Administration
- Maintain and manage commercial vehicle insurance policies
- Coordinate claims and renewals with insurance carriers
- Maintain driver qualification and compliance files
Operations Support
- Process trucking and material sales documentation
- Assist with invoicing for construction materials (gravel, sand, stone, loam, etc.)
- Maintain organized digital and physical records
- Support day-to-day office operations
Qualifications
- 3 years experience in bookkeeping or office management
- Strong proficiency with QuickBooks
- Experience in the trucking, hauling, construction materials, or logistics industry
- Knowledge of:
- IFTA reporting
- MCS-150 filings
- DOT compliance requirements
- FMCSA Clearinghouse
- Commercial vehicle insurance
- Experience handling payroll, A/P, A/R, and banking
- Highly organized with strong attention to detail
- Ability to manage multiple responsibilities independently
Preferred Experience
- Experience in aggregate hauling, trucking, or construction materials
- Knowledge of fuel tax filings and commercial fleet compliance
- Familiarity with driver qualification files and DOT regulations
