Primary Purpose:
The Office Clerk supports the Career and Technical Education (CTE) Director by providing efficient clerical, organizational, and communication assistance while also managing the daily operations of the campus library. This role ensures accurate record-keeping, coordination of CTE program activities, and the maintenance of a welcoming, organized, and resource-rich library environment that supports student learning and staff needs.
Qualifications:
Education:
High school diploma or GED
Associate’s Degree (preferred)
Special Knowledge/Skills:
Proficient keyboarding and file maintenance skills
Ability to file books following district cataloging system
Effective communication and interpersonal skills
Ability to work well with students
Proficient skills in keyboarding, word processing, and file maintenance.
Effective communication and interpersonal skills.
Basic math skills
Ability to use personal computer and software to develop spreadsheets and databases and do word processing
Experience:
One year experience working with children
One year secretarial or clerical experience in public education
Major Responsibilities and Duties:
Records, Reports, and Correspondence
1. Prepare correspondence, forms, reports, etc., for the administrators and other department staff members.
2. Compile pertinent data as needed when preparing various state and local reports.
3. Maintain physical and computerized departmental files.
4. Assist in collecting required documentation for federal & special programs.
Library Program Support
1. Provide individual instruction and assistance in using library media center resources including computers and audiovisual equipment.
2. Shelve incoming books, materials, and equipment.
3. Ready materials for classroom or reserve collection use as requested by teachers.
4. Request and schedule use of materials from regional education service center or other source.
5. Prepare bulletin boards and displays and assist in preparing instructional materials.
Accounting and Inventory
1. Perform routine bookkeeping tasks, including simple arithmetic operations, for the department.
2. Operate the media center automated circulation system.
3. Collect and maintain records of student fines and prepare parent notification as needed.
4. Receive and process books, materials, and equipment and reconcile with packing slips and invoices.
5. Repair books, magazines, materials, and equipment or process for repair at outside facilities (e.g., bindery).
6. Perform routine maintenance on audiovisual equipment
7. Assist in the annual inventory and weeding of library media center materials.
Clerical Support
1. Maintain physical and computerized files, including card catalog, vertical file materials, and publisher catalogs.
2. Prepare bibliographies, forms, purchase orders, requisitions, and routine correspondence.
3. Assist in keeping administrative records and preparing required reports.
Student Management
1. Supervise students and assist teachers to maintain student behavior and maintain an orderly atmosphere.
2. Perform assigned student monitoring duties.
Other
1. Answer incoming calls, take reliable messages, and route to appropriate staff.
2. Maintain confidentiality of information.
