The Administrative Assistant for LyondellBasell’s Chocolate Bayou plant is responsible for providing administrative support to the Chocolate Bayou site. The individual performing in this role will also provide back-up support to other South Texas Polymers Administrative Assistants on an as-needed basis. The incumbent in this position will report to the site Manager.
A Day in the Life
Complete clerical duties including printing, making copies, and document filing
Order and maintain office supply inventory
Distribute mail, including shipping and delivery of packages
Proactively manage requests and schedules to accommodate and prioritize meetings
Supports travel arrangements, prepare travel itineraries and prepare/submit expense reports
Coordinate internal and external meetings
Process miscellaneous department purchases (P-card)
Update and maintain site’s local website and site-wide video communication system (GoalZERO TV)
Create and/or revise documents in Microsoft Office applications (e.g., Microsoft Word, Excel, and PowerPoint)
Generate and distribute monthly site reports
Manage multiple calendars utilizing Microsoft Outlook
Coordinate recognition celebrations for site and employee milestones (e.g., anniversaries, birthdays, retirements)
Provide support for onboarding new employees
Maintain and track department procedures using D2
Create work notifications and purchase requisitions in SAP
Observe safety and security procedures
Work closely with other site Administrative Assistants and provide back-up on an as-needed bases
Implement best practices related to the area of office administration
Maintain favorable working relationships with all company employees to foster and promote a cooperative and harmonious working environment
You Bring This Value
High School Diploma/GED
6-8 years of office experience, preferably in the chemical/refining industry
Excellent communication skills
Ability to work with minimal supervision
Must be able to work with multiple priorities and deadlines
Work effectively and consistently with all levels of the organization
Requires strong interpersonal skills to interact with all plant personnel, as well as, all contractors and the desire to make the systems perform effectively
Must consistently maintain a high productivity level
Strong computer skills, including MS Office Suite
Preferred Qualifications
SAP experience is preferred
