Reports To: This position will be report to the Vice President.
Job Overview: The Billing Coordinator is responsible for administrative support of the sales team. This position is responsible for oversight of the billing process associated with invoicing, estimates and work order entry.
Responsibilities:
- Reviews work orders and invoices for accuracy
- Prepares Work in Progress (WIP) report for management
- Prepares accurate invoices
- Provides timely and accurate responses to customer inquiries via email and/or telephone.
- Enter work orders into company’s database as needed
- Provides Job Costing for the Sales Team
- Prepares reports for sales team and management
- Provides customer service by answering phones and directing calls.
- Takes and retrieves messages.
- Trains and mentors’ new hires and cross train with other departments.
- Responsible for billing oversight.
- Other duties as assigned

Supervisory Responsibility:
This position does not include a supervisory role.
Work Environment:
This job operates in a professional office environment. The role routinely uses standard office equipment such as computers, photocopiers, fax machines and filing cabinets.
Physical Demands:
This job is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand when necessary.
Position Type and Expected Hours of Work:
This is a full-time position. Days and hours of work are Monday-Friday, 8:00am-5pm. Saturday work may be required in Spring and Fall.

Required Education and Experience:
- High School diploma
- Two years of accounts receivable experience
- Two years of customer service experience
Preferred Education and Experience:
- College degree
- One year of QuickBooks experience
- Two years of Microsoft office experience
- Two years of construction CRM
