Position Summary
Our growing boutique law firm is seeking a professional, friendly, and detail-oriented Receptionist/Administrative Assistant to serve as the first point of contact for clients while providing administrative support to attorneys and staff. This individual will play a key role in creating a welcoming client experience and ensuring the smooth day-to-day operation of the office.
The ideal candidate is organized, dependable, proactive, and able to manage multiple priorities in a fast-paced professional environment. Prior law firm experience is preferred but not required.
Key Responsibilities
Reception & Client Service
- Greet clients and visitors in a professional and welcoming manner
- Answer and direct incoming phone calls
- Schedule appointments and manage conference room calendar
- Maintain conference room and reception area
- Handle incoming and outgoing mail, deliveries, and courier services
Administrative Support
- Prepare, format, and proofread correspondence and legal documents
- Scan, copy, file, and organize documents both electronically and physically
- Maintain client files and records with strict confidentiality
- Assist with document assembly, mailings, and client communications
- Track deadlines and support attorneys with administrative tasks
- Order office supplies and coordinate with vendors as needed
Office Operations
- Support overall office organization and efficiency
- Coordinate meetings, staff events, and client appointments
- Assist with special projects and other administrative duties as assigned
- Ensure compliance with firm procedures and document management protocols
Qualifications
- High school diploma required; associate's or bachelor's degree preferred
- 2 years of administrative, receptionist, customer service, or office support experience
- Strong communication and interpersonal skills
- Excellent attention to detail and organizational abilities
- Ability to prioritize tasks and work independently
- Professional demeanor and client-service mentality
- Proficiency in Microsoft Office (Outlook, Word, Excel, and Teams)
- Experience with legal software or document management systems is a plus
Pay: $20.00 - $25.00 per hour
