Position Summary

Our growing boutique law firm is seeking a professional, friendly, and detail-oriented Receptionist/Administrative Assistant to serve as the first point of contact for clients while providing administrative support to attorneys and staff. This individual will play a key role in creating a welcoming client experience and ensuring the smooth day-to-day operation of the office.

The ideal candidate is organized, dependable, proactive, and able to manage multiple priorities in a fast-paced professional environment. Prior law firm experience is preferred but not required.

Key Responsibilities

Reception & Client Service

  • Greet clients and visitors in a professional and welcoming manner
  • Answer and direct incoming phone calls
  • Schedule appointments and manage conference room calendar
  • Maintain conference room and reception area
  • Handle incoming and outgoing mail, deliveries, and courier services

Administrative Support

  • Prepare, format, and proofread correspondence and legal documents
  • Scan, copy, file, and organize documents both electronically and physically
  • Maintain client files and records with strict confidentiality
  • Assist with document assembly, mailings, and client communications
  • Track deadlines and support attorneys with administrative tasks
  • Order office supplies and coordinate with vendors as needed

Office Operations

  • Support overall office organization and efficiency
  • Coordinate meetings, staff events, and client appointments
  • Assist with special projects and other administrative duties as assigned
  • Ensure compliance with firm procedures and document management protocols

Qualifications

  • High school diploma required; associate's or bachelor's degree preferred
  • 2 years of administrative, receptionist, customer service, or office support experience
  • Strong communication and interpersonal skills
  • Excellent attention to detail and organizational abilities
  • Ability to prioritize tasks and work independently
  • Professional demeanor and client-service mentality
  • Proficiency in Microsoft Office (Outlook, Word, Excel, and Teams)
  • Experience with legal software or document management systems is a plus

Pay: $20.00 - $25.00 per hour
