Business & Personal Administrative Manager
Part-Time | On-Site Initially | Washington, Connecticut 06793
Owner of a small private lending business is seeking an experienced, highly capable Business & Personal Administrative Manager to work alongside him in his Washington, Connecticut home office.
This is an unusual position for someone who combines the skills of a senior executive assistant, office manager, project manager and experienced bookkeeper.
The Situation
Several important business and personal administrative projects have accumulated and need to be brought current and organized. Immediate priorities include:
- Bringing approximately three years of bookkeeping for several affiliated companies up to date in QuickBooks.
- Organizing records and working with the owner's CPA to complete overdue tax filings.
- Reconciling bank, credit-card and other financial accounts.
- Organizing business, loan, corporate and tax records.
- Establishing an effective electronic and paper filing system.
- Completing several personal administrative projects, including a Canadian pension application.
- Creating systems and routines that keep these matters current going forward.
The owner operates a small private lending business involving multiple affiliated entities, loans, borrowers, investors and related financial records.
What Makes This Position Different
This is not initially a remote position.
Many outstanding matters require information, explanation or decisions from the owner before they can be completed. The successful candidate will therefore work side-by-side with the owner at his home office in Washington.
A central responsibility is turning incomplete information, accumulated paperwork and unresolved matters into clearly defined tasks; identifying what information or decisions are needed from the owner; obtaining those answers efficiently; and then independently driving each matter to completion.
The objective is not merely to "organize" the backlog. It is to eliminate it.
Once the backlog has been addressed and effective systems are operating, the position may require fewer hours and some work may be performed remotely.
Ideal Background
The successful candidate will likely have substantial experience in one or more of the following roles:
- Full-charge bookkeeper
- Senior executive or personal assistant
- Small-business office manager
- Controller or assistant controller
- Business administrator
- Family-office administrator
- Financially oriented household/personal manager
Strong QuickBooks experience is highly desirable. Experience with multiple LLCs, lending, real estate, bank reconciliations, tax preparation support or closely held businesses would be particularly valuable.
A CPA designation is not required. Complex tax and accounting issues can be referred to outside accountants and other professionals.
The Person
More important than a particular résumé is the ability to take ownership.
The right person is:

- Technologically competent.
- Discreet and trustworthy.
- Patient without being passive.
- Comfortable working directly with a business owner.
- Able to distinguish between matters requiring the owner's decision and matters that can simply be handled.
- Willing to make calls, pursue missing information and follow up until matters are resolved.
- Someone who enjoys bringing order to complicated situations.
This position requires someone who can say:
"Here's what we're working on today. I need these three answers from you, and then I'll take it from there."
rather than someone who continually asks:
"What would you like me to do next?"
Schedule
Approximately 15–25 hours per week initially, preferably spread over three or four weekdays.
The initial work will be performed primarily at the owner's home office in Washington, CT 06793.
Hours and location can become more flexible once the initial backlog is resolved.
A semi-retired professional seeking meaningful part-time work would be very welcome.
Compensation
Approximately $45–$70 per hour, depending upon experience and capabilities. Compensation is negotiable for an exceptional candidate.
