Job Summary:

Our Physical Medicine and Rehabilitation outpatient practice, conveniently located next to Mountain View Hospital, is dedicated to helping patients restore function, reduce pain, and improve their quality of life. We are currently looking to fill the position of a front desk medical office specialist. The receptionist plays a key role in creating a welcoming and professional experience for our patients. The ideal candidate has a strong background in medical front office operations, including administrative tasks, insurance verification/referrals, and scheduling patient appointments while providing exceptional customer service.

Main Job Duties and Responsibilities:

Patient Experience & Customer Service:

  • Greet patients warmly and ensure they feel welcomed in the clinic.
  • Answer phone calls and respond to patient inquiries in a professional manner.
  • Schedule and confirm patient appointments efficiently.
  • Assist patients with check-in and check-out processes.
  • Educate patients on clinic services, financial policies, and treatment options.
  • Assist with referral management and review treatment estimates with patients.
  • Handle patient and referring office concerns with empathy, ensuring prompt communication and resolution.

Administrative & Office Management:

  • Maintain accurate and up-to-date patient documentation in the electronic medical system/practice management system while ensuring compliance with HIPAA regulations.
  • Verify insurance eligibility and assist with necessary authorizations (including pre-authorizations).
  • Process payments, invoices, manage patient accounts, assist with financial arrangements, and review balances as needed
  • Manage office supplies, maintain front office cleanliness, and ensure a professional work environment.
  • Support team members and assist in coordinating office schedules.
  • Collaborate with the medical assistant to ensure seamless patient flow and outstanding service
  • Assist with marketing initiatives, including patient referral programs, and stay updated on all current marketing efforts.
  • Prepare the required materials for the biweekly huddle.

Other Responsibilities:

  • Work closely with the clinical team to ensure seamless patient care.
  • Uphold OSHA and HIPAA compliance standards.
  • Participate in team meetings and contribute to office workflow improvements.
  • Assist the Medical Assistant Supervisor as needed.
  • Perform other duties as assigned.
  • Attend training meetings as assigned

Qualifications, Education, and Experience:

  • High School Diploma or GED required; Associate’s or Bachelor’s Degree is a plus.
  • Medical or dental front office experience with basic knowledge of insurance plans and verification process is required.
  • Proficiency with electronic medical record software (ideally eClinicalWorks) and Microsoft Office applications.
  • Knowledge of insurance billing is a plus.
  • Experience in customer service, administrative support, or healthcare reception is highly desirable.
