Responsibilities
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Oversee office management tasks such as filing, data entry, maintaining spreadsheets, and organizing documents for easy retrieval
- Coordinate calendar management and schedule appointments for staff and clients using productivity software like Google Workspace and Microsoft Office
- Handle bookkeeping duties using QuickBooks or similar accounting tools to assist with invoicing, expense tracking, and basic financial recordkeeping
- Provide exceptional customer service by supporting client communication, responding to inquiries promptly, and ensuring a positive experience for all visitors
- Support medical or dental reception duties as needed, including patient check-in, appointment scheduling, and maintaining confidential records
- Assist with clerical tasks such as proofreading documents, word processing, and managing office supplies to ensure a well-stocked workspace

Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and familiarity with productivity software
- Experience with QuickBooks or other bookkeeping software is highly desirable
- Excellent communication skills, both verbal and written; bilingual abilities are a plus
- Strong computer literacy with the ability to manage multi-line phone systems and technical tools effectively
- Previous experience in front desk or customer support roles within medical or dental offices is advantageous
- Demonstrated ability to multitask efficiently while maintaining professionalism and positive client interactions
