Role Description
This is a full-time, on-site role located in Miami, FL, for a Compliance and Administration Coordinator. The Compliance & Administration Coordinator plays a critical role in supporting the regulatory and operational foundations of a growing alcohol beverage importer. This compliance-heavy, junior-level position is responsible for day-to-day regulatory support, recordkeeping, and internal compliance coordination, while also providing essential administrative support across the business.
As a startup importer, this role is hands-on and process-driven, offering the opportunity to help build, document, and improve compliance and administrative systems as the business scales.
Key Responsibilities
Regulatory Compliance (Primary Focus)
- Support ongoing compliance with alcohol beverage import regulations, including TTB, customs, and applicable state authorities
- Assist with preparation, tracking, and maintenance of:
- Importer licenses and permits
- Regulatory filings and renewals
- Compliance calendars and deadlines
- Maintain accurate and audit-ready records for:
- Import and customs documentation
- Excise tax support files
- Regulatory correspondence
- Support label compliance and COLA tracking, ensuring approvals are documented and accessible
- Coordinate with customs brokers, freight forwarders, and external compliance advisors
- Assist in responding to compliance inquiries and audits under supervision
- Help document and standardize compliance processes as the company grows
Administration & Internal Controls
- Provide administrative support across the business with a strong compliance mindset
- Support Rippling payroll administration, working closely with the Finance Director to ensure accurate data, approvals, and timelines
- Assist with onboarding/offboarding administration (documentation, system setup coordination)
- Maintain shared compliance and operations folders, trackers, and internal documentation
- Support contract and vendor documentation organization
- Help implement basic internal controls and administrative processes suitable for a scaling startup
Cross-Functional Communication & Commercial Support
- Act as a compliance-focused administrative point of contact for internal teams
- Communicate compliance requirements and documentation needs to commercial teams in a clear and timely manner
- Support sales and commercial teams with compliance-related documentation and coordination
- Help ensure alignment between compliance, finance, and commercial functions
- Prepare internal compliance summaries, trackers, and status updates as needed
Skills & Qualifications
- Bachelor’s degree or equivalent experience in business administration, supply chain, legal studies, or a related field
- 2-4 years of experience in compliance, administration, operations, or import/export support
- Strong attention to detail and high standards for documentation accuracy
- Comfortable working with regulatory information and deadlines
- Experience with HR/payroll systems (experience with Rippling is a plus)
- Experience with submitting state registration and end of month reports via SOVOS and other state regulation websites
- Strong organizational and time-management skills
- Clear written and verbal communication skills
- Proficiency in Microsoft platforms including Dynamics, Microsoft Office, Teams and Outlook
- Interest in regulatory compliance, import/export, or the alcohol beverage industry
- Comfortable working in a startup environment with evolving processes

Salary Range:
$80,000 – $90,000 per year, depending on experience and qualifications
