We are seeking a highly experienced Operations Manager to oversee and manage all aspects of our Med Spa’s operations. This is a strategic, hands-on role for someone who has run healthcare or wellness facilities at a leadership level and understands the intricacies of creating a high-end, luxury patient experience. The Operations Manager will work directly with the business owners and doctors to ensure seamless operations—from office setup and staffing to compliance, financial oversight, and white-glove client experience.

Key Responsibilities:
- Business Launch & Setup
- Lead the complete setup of the Med Spa, including licensing, permitting, and compliance with all regulations.
- Create a comprehensive Operations Manual, including SOPs for staff, patient experience, and daily operations.
- Determine office environment details, including layout, staffing levels, suppliers, and even environmental standards (e.g., office temperature).
- Implement workflows that anticipate every operational detail so business owners and doctors can focus exclusively on patient care.
- Compliance & Regulatory Oversight
- Ensure the practice is always OSHA and HIPAA compliant.
- Stay up to date on all healthcare regulatory requirements and implement proactive compliance measures.
- Develop and maintain training programs so staff certifications and continuing education remain current.
- Conduct regular audits to ensure patient privacy, safety, and compliance standards are being met at all times.
- Serve as the point of contact for all compliance-related inspections, audits, and reporting.
- Leadership & Team Management
- Hire, train, and manage all staff members to maintain a high-performing, client-focused team.
- Instill a culture of precision, professionalism, and luxury service standards.
- Conduct ongoing staff training to ensure every team member delivers a white-glove patient experience.
- Financial & Operational Management
- Manage daily operations, including scheduling, inventory, procurement, and vendor relationships.
- Oversee financial reporting, budgeting, and monthly P&L analysis.
- Implement KPIs and monitor performance to ensure efficiency, profitability, and client satisfaction.
- Client Experience & Luxury Standards
- Maintain and elevate a world-class, luxury patient experience at every touchpoint.
- Anticipate and address patient needs proactively, ensuring a personalized, top-tier experience.
- Ensure the spa environment reflects a luxury, high-end standard in every detail—from cleanliness and aesthetics to staff communication and follow-up.
- Growth & Expansion Support
- Standardize operational processes to support future expansion into additional locations.
- Continuously identify opportunities to enhance operational efficiency and patient experience.
- Minimum 5 years in a leadership role managing a healthcare facility (private practice, dental, chiropractic, or other clinical settings).
- Strong knowledge of healthcare compliance, OSHA, HIPAA, and licensing.
- Proven ability to manage staff training, certifications, and compliance programs.
- Exceptional attention to detail—luxury patient experience depends on anticipating every detail.
- Ability to independently run business operations and fully support doctors/owners.
- Strategic thinker with a hands-on, solutions-oriented approach.
- Outstanding leadership, communication, and team-building skills.
- Experience creating operations manuals, workflows, and SOPs.
- Proficiency with operational software, CRM systems, and Microsoft/Apple productivity tools.
