Responsibilities
- Greet patients warmly and professionally, establishing a friendly and inviting atmosphere
- Manage patient scheduling using EMR (Electronic Medical Records) systems such as Epic, Meditech, or Athenahealth
- Verify insurance coverage and perform insurance eligibility checks accurately
- Handle medical billing and collections with attention to detail, ensuring timely payments
- Maintain precise medical records, including documentation review and coding using ICD-10, CPT, ICD-9, and ICD coding standards
- Assist with intake procedures, including collecting patient information and updating health histories
- Answer multi-line phone systems with excellent phone etiquette and provide clear communication to patients and providers
- Support front desk operations such as filing, data entry, appointment confirmations, and managing office supplies
- Uphold HIPAA compliance by safeguarding patient information and adhering to health information management protocols
- Collaborate with clinical staff to coordinate care plans and ensure smooth clinic flow
Qualifications
- Previous experience in a medical office or clinic environment strongly preferred; dental or med spa experience is a plus
- Proficiency with EMR/EHR systems including Epic, Meditech, Athenahealth, eClinicalWorks or similar platforms
- Strong knowledge of medical terminology, ICD coding (ICD-10/ICD-9), CPT coding, and healthcare documentation standards
- Experience with insurance verification, medical billing, collections, and Medicare processes
- Excellent computer skills including Microsoft Office Suite (Word, Excel) and familiarity with dental or medical office management software such as Eaglesoft or Dentrix preferred
- Exceptional customer service skills with the ability to handle sensitive situations professionally
- Bilingual abilities are highly desirable to serve diverse patient populations
- Strong organizational skills with attention to detail in filing, documentation review, and office management tasks
- Ability to multitask efficiently in a fast-paced environment while maintaining accuracy and professionalism
