Job Overview
We are seeking a dynamic Operations and HR Specialist to join our team and drive operational excellence while fostering a positive, compliant, and engaging workplace environment. In this role, you will be instrumental in operations and human resources functions, streamlining processes, and supporting organizational growth. Your energy, organizational skills, and strategic mindset will help ensure our HR initiatives align with business objectives and promote a thriving company culture. Responsibilities include:
Financial Operations & Bookkeeping
- Process daily transactions: Manage incoming receivables, outgoing payables, payments, and check distribution.
- Audit shipping costs: Review and cross-check domestic and international shipping invoices from logistics companies against internal portal data to ensure complete accuracy before releasing payment.
- Reconcile general accounts: Cross-check vendor invoices against spreadsheets to identify, investigate, and resolve data discrepancies.
- Manage billing workflows: Issue purchase orders to vendors and generate timely billing invoices for customers as needed.
- Ledger entry & reporting: Input financial transactions into internal database systems and assist leadership with month-end financial reports.
- Document control: Maintain organized digital and physical financial records for auditing compliance.
Human Resources & Immigration
- Manage recruitment logistics: Post open positions across recruitment platforms, track applicant pipelines, and coordinate candidate interview schedules.
- Coordinate immigration filings: Partner directly with external immigration attorneys to prepare, track, and manage documents for H-1B and PERM applications.
- Lead employee onboarding: Gather compliance documents, prepare onboarding materials, and guide new hires through their first-week setup.
- Nurture team culture: Support hiring efforts, team building, and plan monthly culture events or team get-togethers.
Outbound Shipping & Digital Logistics
- Manage carrier portals: Organize, schedule, and track domestic and international shipments directly through UPS, DHL, and FedEx portals.
- Prepare outbound logistics: Generate shipping labels, manage customs documentation, and schedule carrier pickups.
Administration & Document Control
- Execute NDA workflows: Print, physical-stamp, route for signatures, scan, and digitally archive Non-Disclosure Agreements (NDAs).
- Manage office correspondence: Screen and route incoming phone calls and distribute emails to the team.
- Coordinate corporate travel: Research travel itineraries and prepare detailed traveler expense reports.
- Execute ad-hoc tasks: Support the team with system-based administrative tracking and special operational projects.
Required Qualifications & Skills
- Education: Bachelor’s degree in Business Administration, Accounting, Human Resources, or a related field required.
- Experience: 2–4 years of experience in office administration, bookkeeping, or HR operations.
- Immigration Familiarity: Basic understanding of or exposure to the USCIS H-1B or DOL PERM filing processes is highly preferred.
- Software Proficiency: Hands-on experience navigating UPS, DHL, and FedEx shipping portals, along with accounting databases or spreadsheets (Excel/Google Sheets).
- Discretion: Proven ability to handle highly sensitive, confidential employee information and legal documents with complete privacy.
- Attention to Detail: Ability to adapt quickly to changing priorities while maintaining attention to detail
