WHAT YOU’LL DO
As a Foster Grandparent Program (FGP) Coordinator, you will support the daily operations of the Foster Grandparent Program by managing information, records, communications, and key administrative processes. Core responsibilities include:
Program & Office Administration
- Maintain databases, updated lists, and organized paper and electronic files for all Foster Grandparent information.
- Prepare interview packets, complete references, and coordinate all required background checks for new volunteers, including scheduling and transporting volunteers for FBI fingerprinting.
- Prepare media materials and assist in monitoring and responding to social media inquiries.
Payroll, Finance & Recordkeeping
- Prepare and distribute timesheets; process returned timesheets; prepare payroll; and send paycheck and time-off notices.
- Prepare vouchers, write checks, and process deposits.
- Reconcile bank statements, process journal entries, and produce monthly financial reports.
- Prepare and process documentation for in-kind and contract services, including follow-up on missing documents.
- Prepare and collaborate with LLV financial department.
- Prepare any financials, budgets or reporting for special projects.
Volunteer & Site Support
- Maintain communication systems, including sending birthday and get-well cards and documenting volunteer contacts.
- Prepare and process income review paperwork; follow up on incomplete submissions.
- Coordinate Foster Grandparent evaluations, including preparing and mailing forms, making follow-up calls, and tabulating results.
- Support child assignment processes by preparing and mailing paperwork, following up with sites, and tabulating outcome data.
Meetings, Events & Outreach
- Assist with Foster Grandparent meetings and events by purchasing supplies, preparing sign-ins, and supporting set-up, registration, clean-up, and follow-up tasks.
- Support the annual recognition luncheon by preparing and mailing fundraising letters and invitations and creating recognition awards and certificates.
- Complete program errands and purchasing program supplies as needed.
- Speak at in-service meetings, orientation, and focus groups.
Professional Development
- Maintain professional knowledge and skills by attending relevant workshops, trainings, and conferences as requested by the Project Director.
- Perform other duties as assigned.
WHAT YOU NEED
Education & Experience
- High school diploma required; some college preferred.
- Successful completion of accounting coursework required.
- Minimum of two years’ experience in an office or comparable administrative setting.
- Experience working with adults over age 55, volunteers, or community/government agencies is a plus.
Knowledge, Skills & Abilities
- Must have knowledge and practice in Excel, QuickBooks, and Microsoft Office. Volunteer Reporter and JotForm are a plus.
- Ability to use computer, copier/fax machine, multi-extension phone system, and postage machine.
- Understanding of accounting principles, procedures, and related software.
- Strong organizational, written, and verbal communication skills.
- Ability to maintain accurate records, manage multiple tasks, and follow through on deadlines.
- Access to a personal vehicle and a valid driver’s license to complete job-related errands.
- Some knowledge in federal grants and budgets.
