Position Summary
The Administrative Assistant will provide day-to-day administrative and programmatic support to the SoLA-CCERM team. This role supports coordination of meetings, events, reporting, and general office operations, while assisting program leadership in ensuring smooth execution of program activities.
Requirements
- Associate’s or Bachelor’s degree in Business Administration, Health Administration, Public Health, or related field (or equivalent experience)
- 1–3 years of administrative, program coordination, or office support experience (preferably in a healthcare, academic, or research setting)
- Experience with scheduling, data entry, and general office operations required
Preferred Qualifications
- Exposure to research or clinical environments
- Familiarity with basic budgeting or expense tracking
- Experience supporting events, meetings, or training programs
Knowledge / Skills / Abilities
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Strong organizational and time management skills
- Attention to detail and ability to manage multiple tasks
- Effective verbal and written communication skills
- Ability to work both independently and as part of a team
- Professional demeanor and strong interpersonal skills
- Basic understanding of confidentiality principles (HIPAA preferred)
- Willingness to learn new systems and processes
Key Responsibilities
- Provide administrative support to SoLA-CCERM program leadership and staff
- Schedule and coordinate meetings, including preparing agendas and taking minutes
- Assist with coordination of training sessions, workshops, and events
- Maintain program files, documentation, and tracking spreadsheets
- Support data entry and basic tracking of program metrics and deliverables
- Assist with preparation of reports, presentations, and correspondence
- Coordinate logistics for advisory board meetings and team events
- Serve as a point of contact for internal communication and external inquiries
- Support compliance documentation and record-keeping efforts
- Perform general office duties such as calendar management, supply ordering, and filing
- Contribute to team projects and perform other duties as assigned
