Position Overview:
The Post-Closing Coordinator is a key contributor within the Receiver and Trailing Documents Department, responsible for the precise tracking, collection, and shipment of closed loan packages and trailing documents following closing and purchase. Serving as a vital link between title companies, investors, and internal teams, this role ensures all required documentation is received, verified, and delivered accurately and on time. The position involves reviewing a broad range of loan types, including but not limited to FNMA, FHLMC, FHA, VA, RHS, Bond Programs, and Conventional mortgage transactions. Success in this role requires exceptional attention to detail, strong organizational skills, and a proactive approach to maintaining quality, compliance, and efficiency across all post-closing processes.
Responsibilities and Duties:
- Receive, review, and audit recorded documents for accuracy and completeness
- Receive, audit and ship closed loan documentation to ensure all lender and investor requirements are met
- Prepare, scan, and ship final documents to investors while maintaining organized electronic and physical filing
- Conduct thorough reviews of documentation and request timely corrections, follow up or clarifications from title
- Manage and monitor the pipeline to ensure all documentation is received, tracked, and completed efficiently
- Prepare loan files—including notes, allonges, and other applicable documents for shipment
- Input and maintain accurate data within Encompass to track requests, shipments, and overall document status
- Adhere to all FNMA, FHLMC, and investor delivery guidelines, policies, and procedures
- Support post-closing functions as needed
Qualifications and Skills:
- High School Diploma or equivalent
- Mortgage experience preferred
- Excellent organizational skills with strong attention to detail and accuracy
- Must be able to multi-task and prioritize workload
- Effective communication skills, written and verbal
- Ability to work as part of a team
- Excellent customer services skills
- Encompass Knowledge a plus
- Knowledge of mortgage documentation and regulatory requirements
