Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the managing operator. The Executive Assistant will play a key role in ensuring smooth daily operations and supporting strategic initiatives.
Duties
- Manage and maintain executive calendars using Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
- Prepare, proofread, and transcribe documents, reports, and correspondence ensuring accuracy and professionalism.
- Coordinate travel arrangements, including booking flights, accommodations, and transportation.
- Handle phone etiquette for multi-line phone systems and serve as a front desk representative when needed.
- Assist with event planning for company functions, meetings, and special events from inception to execution.
- Perform data entry, filing, and general clerical tasks such as document management using DocuSign and other digital tools.
- Provide executive administrative support including managing emails, organizing files, and handling confidential information discreetly.
- Support bookkeeping activities using QuickBooks for invoicing, expense tracking, and basic bookkeeping tasks.
- Oversee office management duties such as supply ordering, maintaining office equipment, and ensuring a productive work environment.
- Collaborate on project coordination efforts across departments to meet deadlines and achieve objectives.
- Maintain excellent customer service standards through effective communication via phone calls and in-person interactions.
Qualifications
- Proven experience as an executive assistant or in a similar administrative role with office management responsibilities.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Microsoft Outlook Calendar, Google Workspace (Gmail, Docs), and data entry tools.
- Excellent typing speed with high accuracy; experience with transcription is a plus.
- Knowledge of bookkeeping software such as QuickBooks is preferred.
- Exceptional proofreading skills and attention to detail for document review and editing.
- Effective communication skills including phone etiquette and professional interpersonal interactions.
- Ability to handle multiple projects simultaneously while maintaining professionalism under pressure.
- Experience with event planning, project coordination, calendar management, filing systems, and office procedures is highly desirable.
- Familiarity with multi-line phone systems and digital signature platforms like DocuSign will be advantageous.
