JOB SUMMARY:
We are seeking a detail-oriented and organized Document Management / Records Management Specialist to support enterprise document governance, repository management, and real estate documentation operations for a large-scale organization.
Key Responsibilities:
- Monitor and review Iron Mountain FTP sites to ensure successful document retrieval and file completeness.
- Upload, classify, and organize documents within Documentum using standardized naming conventions.
- Maintain backup copies of records through secure SharePoint transfers.
- Conduct data quality reviews to identify duplicate or redundant files across shared repositories.
- Consolidate and relocate documents to improve repository structure and audit readiness.
- Review scanned deed files, categorize documentation, and update land schedules/property records.
- Analyze records for relevance and ensure compliance with document retention and governance policies.
- Experience with Documentum, SharePoint, or other ECM/document management systems.
- Strong knowledge of records management, document retention, and file governance.
- Experience handling scanned legal, real estate, or property-related documentation.
- Familiarity with FTP file retrieval and repository maintenance.
- Strong attention to detail and organizational skills.
- Ability to work with large document repositories and compliance-driven processes.
- Real estate documentation or land records experience.
- Experience with Iron Mountain workflows.
- Background in regulated, transportation, infrastructure, or enterprise environments.
