What are the responsibilities and job description for the Senior Manager of Dental Operations position at Luma Dental?
Build the Operations Behind Exceptional Patient Care
Who We Are
LUMA Dental is building a growing network of community-focused dental practices across New York City. We expect to operate approximately three practices by the end of 2026, with plans to continue expanding in 2027 and beyond.
Our practices are entering a new chapter under new ownership and leadership. We are investing in the patient and employee experience through stronger operating systems, updated technology, improved scheduling and administrative support, and a culture centered on professionalism, accountability, and teamwork.
Our goal is to combine the personal feel of community dental practices with the systems, data, and service standards needed to support a growing dental organization.
An Opportunity to Build and Lead
We are seeking an experienced Sr. Manager of Dental Operations to lead day-to-day operations across our locations and build the LUMA operating playbook. This role requires someone who has managed multiple dental practices and can turn practice-level challenges into clear processes, measurable improvements, and consistent team accountability.
You will work closely with ownership, senior leadership, practice managers, and dentists to strengthen revenue-cycle performance, staffing, scheduling, patient experience, and practice profitability while preparing the organization for continued growth.
Why You Will Love Working Here
- Base salary of $140,000–$160,000, depending on experience.
- Performance-based bonus opportunity expected to be approximately 10–15% of base salary, tied to agreed operational and financial goals.
- Opportunity to shape the operating model of a growing dental group and work directly with ownership and senior leadership.
- A role that combines hands-on practice support with building systems for a larger organization.
- For an exceptional candidate with significant experience successfully scaling a multi-location dental organization, compensation may be adjusted based on experience.
Lead with Confidence
You will lead non-clinical operations and partner with clinical leadership to support efficient, well-run practices. Clinical leaders retain authority over diagnosis, treatment decisions, standards of care, and clinical supervision. Operational goals and performance reporting must support appropriate patient care and respect dentists’ professional judgment.
Technology and Operating Systems
Help implement and optimize practice-management software and related technology. Build consistent workflows, dashboards, scorecards, and standard operating procedures that give each practice clear expectations and leadership reliable visibility into performance.
Operational Responsibilities
- Oversee daily operations across all locations; coach practice managers, establish priorities, and hold teams accountable for execution.
- Develop and implement consistent procedures for opening and closing, scheduling, patient flow, administrative handoffs, and service standards.
- Oversee production and collections reporting, insurance billing, accounts receivable, and revenue-cycle performance; establish processes for claim submission, follow-up, denials, patient balances, and collections.
- Improve schedule and chair utilization, cancellation and no-show management, and provider scheduling in partnership with clinical leadership.
- Develop staffing models and coordinate hiring, onboarding, training, and coverage with practice managers, HR, and clinical leadership, respecting each entity’s employment and supervisory responsibilities.
- Strengthen patient communication, treatment follow-up, case acceptance, and retention through clear education and service processes aligned with clinicians’ treatment recommendations.
- Lead the operational integration of acquired practices, including workflow assessments, systems implementation, staff transition support, and performance follow-up.
- Build weekly and monthly reporting for ownership; identify problems early, assign corrective actions, and monitor results.
- Partner with finance on budgets, labor costs, practice profitability, and operational improvement priorities.
- Coordinate administrative processes that support patient privacy, safety, and required training; escalate clinical matters to clinical leadership.
Key Performance Measures
Monitor production, collections and collection percentage; accounts receivable aging and outstanding claims; provider and hygiene production; new-patient volume, retention and case acceptance; schedule utilization, cancellations and no-shows; staffing and labor costs; practice profitability; patient service measures; and the performance of newly integrated practices.
Qualifications
We are looking for a practical operator who can assess how a dental office is functioning, identify priorities, and put the right people, processes, metrics, and accountability in place.
- Significant experience managing multiple dental practices and leading practice managers and operational teams.
- Strong understanding of dental production, collections, insurance billing, accounts receivable, and revenue-cycle management.
- Experience improving scheduling, provider productivity, staffing, and patient flow.
- Experience building operating procedures, dashboards, reporting, and accountability systems.
- Strong financial and analytical skills, with the ability to translate data into clear operational action.
- Effective communication with dentists, practice managers, executives, and ownership; sound judgment and a commitment to patient-centered service.
- Comfort working hands-on in practices while building systems that can scale across locations.
Preferred Qualifications
- Five to ten or more years of dental operations experience.
- Experience with a DSO or a growing multi-location dental group.
- Experience integrating acquired practices and implementing or optimizing practice-management technology.
- A record of helping a dental group grow from a handful of practices into a larger regional organization.
Schedule
This role supports dental practices across New York City and requires regular on-site involvement and travel between locations. The work schedule will be discussed during the hiring process.
