LABF Volunteer Management Internship:
Volunteer Coordination for LABF Community Partner Days – Mondays & Wednesdays
Overview:
The Volunteer Coordinator Intern manages volunteer scheduling, onboarding, and communication for LABF Community Partner programming on Mondays and Wednesdays through November. Key responsibilities include confirming RSVPs, onboarding new volunteers, verifying background checks (in collaboration with the LABF Director of IT), and ensuring all volunteers are cleared and prepared to support inclusive outdoor activities. This is an unpaid internship to wor into a staff position.
Key Responsibilities:
- Volunteer Outreach: Send weekly updates and sign-up prompts to LABF mentors and volunteers. Clearly communicate dates, times, and volunteer expectations for each session.
- RSVP Management: Track weekly sign-ups and confirm attendance with each volunteer at least 48 hours in advance. Maintain a centralized attendance and availability tracker.
- Volunteer Onboarding: Welcome new or returning volunteers unfamiliar with current program protocols.
- Share onboarding materials, including program overview, safety expectations, and inclusive engagement tips.
- Ensure all required forms (waivers, emergency contact, etc.) are collected before participation.
- Background Check Coordination:
- Collaborate with the LABF Director of IT to verify the status of volunteer background checks and ensure all data is securely managed.
- Maintain a clearance list of approved volunteers.
- Follow up with individuals who have not completed the process or whose documentation is incomplete.
- Notify volunteers when they are cleared to participate or if further action is needed.
- Coverage Monitoring with Event Coordinator:Review weekly RSVP data to ensure adequate volunteer coverage for each session. Alert LABF Event Coordinator if additional support is needed.
- Follow-Up & Record keeping with Director of Admin:
- Track volunteer attendance and update contact and clearance records weekly with Director of Admin.
- Note cancellations or no-shows and follow up as needed.
- Support staff in recognizing and retaining reliable volunteers through simple thank-you messages or check-ins.
Time Commitment:
3–4 hours per week (primarily remote coordination, with optional in-person presence on Mondays , Tuesdays and Wednesdays).
