About the Role
Lucid Therapeutics is looking for an experienced, steady, and detail-driven leader to serve as our Head Lucid Assistant. This is a full-time, in-person, patient-facing leadership role at our Santa Barbara mental health clinic, responsible for leading our team of Lucid Assistants (LAs), upholding daily clinical and operational standards, and providing hands-on procedural support for Spravato and Stellate Ganglion Block (SGB) treatments.
This role reports directly to Kristin, our Practice Manager, and works closely with our Director of Operations, supervising providers, care coordinators, and the LA team. It is best suited for someone who has led a team before, thrives on structure and follow-through, and is energized by keeping a clinical environment running smoothly from the inside out.
Schedule & Hours
- Full-time, in-office position — this is not a remote role
- Standard clinic hours, with flexibility for early mornings and evenings as treatment schedules require
- Weekend availability may be needed as clinic hours expand
Compensation & Benefits
- Compensation depends on experience
- Full-time from day one: healthcare coverage, paid vacation, and 10 paid holidays
What You'll Be Doing
Leading the LA Team
- Lead and support all other Lucid Assistants in day-to-day operations
- Uphold the standards set out in the LA Daily SOP at all times, and follow them personally to model high standards for the team
- Keep the LA Daily SOP updated as workflows, tools, or expectations change
- Hold weekly LA team meetings
- Bring team or operational issues to Kristin as they arise — don't wait for the weekly meeting if something needs attention sooner
- Give LAs feedback in the moment, in addition to structured check-ins
Daily Checklist Oversight
- Confirm both the Downstairs and Upstairs LA Daily Checklists are completed and initialed every day
- Follow up directly with the responsible LA any day a checklist is incomplete or missing initials
Facility Cleanliness & Mail Oversight
- Oversee general office cleanliness beyond what's covered in the daily LA checklists, delegating extra tasks as needed
- Personally manage the Scanned Mail & Weekly Mail Handoff process — scanning, categorizing, and logging incoming mail
- Separate and flag checks for handoff to Remi each Thursday, escalating immediately if a deposit deadline is at risk
Spravato Inventory Management (FlexScan)
- Maintain accurate Spravato inventory using FlexScan and the physical log book
- Receive, scan, and log all incoming Spravato shipments, including lot numbers and expiration dates
- Conduct weekly inventory audits and prepare reorder recommendations
- Maintain REMS program compliance, chain-of-custody documentation, and secure medication storage
Office Inventory & Amazon Ordering
- Monitor stock levels for office, cleaning, patient comfort, TMS, and procedure supplies
- Manage the weekly ordering process and track deliveries
- Review supply utilization monthly and identify cost-saving opportunities
Spruce Communication Support
- Monitor the Spruce inbox throughout the day and help triage patient messages
- Support scheduling, treatment reminders, and general patient communication
- Escalate safety concerns, adverse events, medication questions, or any mention of suicidal ideation to clinical staff immediately
Stellate Ganglion Block (SGB) Assistant Support
- Prepare procedure rooms and confirm patient consent and pre-procedure documentation
- Support the provider during procedures and monitor patient comfort
- Assist with post-procedure recovery monitoring, discharge instructions, and follow-up scheduling
General Administrative Duties
- Support front office operations and scheduling coordination as needed
- Maintain HIPAA compliance and patient confidentiality at all times
- Complete required trainings and certifications
Who We're Looking For
- Prior experience leading a team in a medical office, clinic, or healthcare-adjacent setting strongly preferred
- Comfortable with structured clinical protocols, inventory systems, and compliance requirements
- Calm, grounded presence — able to support patients through Spravato and SGB sessions with warmth and confidence
- Exceptional reliability and attention to detail, especially around documentation and inventory tracking
- Strong communicator, comfortable giving feedback and holding a team to a high standard
- Looking for a long-term leadership role, not a short-term or transitional position
