Deputy District Clerk - Counter Clerk

Summary

Interact with and assist public and court personnel at the counter; prepare new civil and criminal cases; certify documents; docket pleadings on the computer; open and process mail; file stamp and conform documents; answer phone; process E-Filing submissions.

Essential Duties

  • Courteously inform and direct the public with general information about the courthouse.
  • Provide agency forms as required by statute.
  • Data entry of documents as received by E-Filing or as received in the office by pro se parties.
  • Process new civil and criminal cases, including file marking original petitions, assigning court and judge, calculating and receipting filing fees, and entering cases into the computer.
  • Open, redirect, and process mail.
  • Open incoming transfer cases.
  • Perform filing functions for motions and orders.
  • File-mark all documents presented at the counter and from the Administrative Office.
  • Detect frivolous or fraudulent lawsuits.
  • Open quasi-criminal, civil, adoption, and juvenile cases.
  • Deliver forms to the bookkeepers.
  • Print civil daily reports.
  • Maintain a balanced cash drawer at all times.
  • Immediately direct judicial bypass cases to a supervisor.
  • Process credit card transactions.
  • Process passport applications.
  • Answer phone calls and prepare correspondence related to court activity.
  • Other duties as may be assigned.

Position Requirements

QUALIFICATION REQUIREMENTS: High school diploma or equivalent required. Computer data entry experience, and customer service experience required. Must have knowledge of English grammar, spelling, punctuation, and modern office equipment including computer software, and filing systems.

Supplemental Information

KNOWLEDGE, SKILLS, AND ABILITIES: Must be able to type or keyboard data entry at a rate of 45 net words per minute. Must have knowledge and skills to perform basic math principles. Must be able to establish and maintain effective working relationships with co-workers and the public. Must be able to prioritize tasks to be performed. Must be able to work independently in the absence of supervision. Must be able to respond appropriately and professionally to requests and inquiries from the general public and courthouse personnel. Must be able to communicate verbally and in writing. Must be able to apply laws, rules, regulations, and procedures applicable to the job duties assigned. Must be able to read and understand manuals, instructions, and documents. Must be able to analyze various situations and determine the best solution within the authority delegated.

PHYSICAL AND ENVIRONMENTAL REQUIREMENTS: Must be able to lift 25 pounds. Must be able to stand, walk, kneel, and/or bend to perform essential functions. Must be able to reach, grip, and use fine dexterity to operate computers, and office equipment, and handle/manipulate papers. Must be able to push and pull objects. Must be able to flex upper trunk forward at the waist and partially at the knees. Must be able to rotate upper trunk to the left or right while sitting or standing. Must be able to place arms above, at, or below shoulder height. Must have use of visual and depth perception. Must have speech, hearing, and visual acuity necessary to operate a computer, office equipment, and file documents and court shucks.
