Job Summary
Our law office is seeking a friendly, professional and organized Legal Receptionist to manage a busy front desk for a large law firm. The Legal Receptionist is the face of our company. In this role, you will greet clients and other visitors at the office when they arrive, answer and redirect phone calls and take accurate messages for attorneys and other staff. On a daily basis, you will also be responsible for other administrative duties. You will provide supervision/direction to office Runners and manage their workflow.
Reporting Relationship
The position reports to the Business Manager, interacts regularly with firm attorneys and support staff.
Duties and Responsibilities
· Welcomes clients and visitors upon arrival at reception.
- Observes business etiquette and maintains a professional appearance with a positive can-do attitude.
- Direct visitors to the appropriate person and office.
- Maintains office security by controlling access via the reception desk.
- Answering, screening, and forwarding phone calls in a professional manner, providing accurate information.
- Receives, sort and distribute daily mail/deliveries.
- Update calendars and schedule meetings for conference rooms.
- Collects intake data from new clients.
- Assisting with copying, scanning, faxing, emailing.
- Schedules equipment repairs as directed.
- Scheduling meetings and conference rooms.
- Booking outside meetings upon request.
- Order supplies and keeps inventory of stock.
- Coordinate tasks of office interns and completion of their duties.
- Creates schedule for office interns.
- Completes time and mileage entries for office Runners.
- Perform general office duties, with knowledge of office computers and software.
- Works on special projects as assigned.
Qualifications and skills
- Two years Receptionist or Office Administration experience required.
- Competence with managing others.
- Solid work history managing a large volume of calls.
- Proficient in Microsoft Word and Outlook.
- Diligent to details and customer service.
- Excellent written and verbal communication skills.
- Exceptional interpersonal and communication skills.
- Ability to prioritize, multitask, and work independently.
- Ability to learn quickly and adapt easily to changing circumstances.
- Solid experience working with printers, copiers, scanners, faxes.
- Familiarity with legal terms, legal documents a plus.
