We are seeking a highly organized and proactive Executive Assistant to provide top-tier administrative support to our CEO, Levi Lanzrath. The ideal candidate is a master of efficiency, a detail-oriented problem-solver, and an excellent communicator who can handle multiple priorities in a fast-paced environment.
Administrative Support
- Manage calendars and schedule appointments, meetings, and travel itineraries.
- Draft, edit, and proofread emails, reports, and other communication on behalf of the executive.
- Track and organize expenses and process expense reports.
- Capture, hone, and project the executive's tone, morals, and messaging.
Meeting Coordination
- Plan, coordinate, and prepare materials for meetings (e.g., agendas, presentations, minutes).
- Assist with meeting logistics such as reserving conference rooms, preparing video/conference call setups, and arranging details as needed.
Communication & Correspondence
- Serve as the primary point of contact between the executive and internal/external stakeholders.
- Screen, prioritize, and handle incoming calls, emails, and requests.
- Draft and distribute internal and external communications with confidentiality and professionalism.
Project Management
- Collaborate with various departments to ensure timely completion of projects and initiatives.
- Track deadlines, deliverables, and follow-up on outstanding items.
- Conduct research, compile data, and prepare presentations or reports as needed.
Travel Arrangements
- Arrange complex and detailed travel plans (domestic and international) including itineraries, flights, hotels, and ground transportation.
- Maintain travel schedules, handle last-minute changes, and ensure all necessary documents (e.g., passports, visas) are in order. This applies to both the CEO, and employees of the company during travel periods.
Office Management & Other Duties
- Maintain an organized filing system of paper and electronic documents.
- Order supplies and ensure equipment is properly maintained.
- Handle special projects and ad hoc tasks as assigned by the executive.
- Technical Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with project management tools (e.g., Asana, Trello) and/or communication platforms (e.g., Slack) is a plus.
