We are a small, established moving and storage company looking to add a dependable and organized Office Administrator to our team. This role is focused on customer service and scheduling, with the opportunity to take on additional administrative and financial responsibilities over time.
This is a steady, long-term position with consistent weekday hours. We are looking for someone who wants to be part of the company and grow with us, not just fill a short-term role.
Responsibilities
- Answer incoming phone calls and respond to customer emails
- Schedule moves and manage the daily calendar
- Communicate with customers before, during, and after their move
- Prepare and maintain job paperwork (estimates, work orders, etc.)
- Keep job details accurate and up to date
- Coordinate with crews and warehouse staff to ensure smooth operations
- Handle schedule changes, updates, and general problem-solving
Additional Responsibilities (Future Opportunities):
- Assist with invoicing and billing
- Support accounts receivable and payable
- Work within QuickBooks for basic financial tasks
- Assist with payroll and general administrative tracking
Qualifications:
- Minimum 5 years of experience in office administration, customer service, or a similar role
- Strong communication skills (phone and email)
- Highly organized with strong attention to detail
- Comfortable managing multiple tasks in a fast-paced environment
- Ability to problem-solve and stay calm under pressure
- Experience with Google Drive (Docs, Sheets, etc.)
- Experience with scheduling and customer communication
- Familiarity with QuickBooks, billing, and basic financial processes is strongly preferred
