Responsibilities:
- Oversee patient service representatives in Dental Clinic with oversight in operations, duties and tasks, working closely with Chief and Dental Practice Manager in multi-functional role.
- Work closely with multiple department leaders to improve Revenue Cycle Management of Dental Clinic.
- Maintain supplies in Dental clinic areas in coordination with Lead Dental Assistant, Dental Manager and Chief’s oversight, adhering to budget of the Dental Clinic.
- Monitor Dental schedules, scheduling patients day-to-day in Dental Clinic.
- Provide improved access to dental care for Lowell CHC patients with real-time schedule management of appointments in Dental Clinic.
- Assist providers in the triage of urgent dental issues in Dental Clinic by responding to messages from various departments in EHR or by phone.
- Assist in management of referrals (outgoing and incoming), scheduling patients promptly and accurately.
- Answer and direct phone calls.
- Explain insurance information to patients or refer to Health Benefits Department when needed.
- Understand benefits with medical insurances and dental insurances.
- Submit and follow up on prior authorizations for visits as needed from insurances.
- Collect co-pays and payments when required.
- Schedule patients for follow-up appointments in Dental Clinic as well as other departments of Lowell CHC when required.
- Greet every patient in multi-cultural environment in friendly and courteous manner.
- If applicable, provide clinical care when needed to scope of licensure (i.e. dental assisting, hygiene, etc.).
- Bi-lingual in English and Spanish, Portuguese or Khmer highly desired.
- Provide excellent customer service to all patients and staff in multi-cultural and fast-paced environment.
- Utilize language lines when needed to communicate with patients.
- Adhere to privacy, confidential, and proprietary company policies and procedures (Lowell CHC guidelines).
- Maintain open lines of communication with staff, peers, and supervisors in Dental and all other departments.
- Participate in educational meetings and training activities as outlined by departmental guidelines and goals.
- Must be flexible and adaptable based on health center requirements.
- Assure readiness prior to business operations and perform all actions needed for end of business day.
- Demonstrate effective prioritization of day-to-day operations.
- Maintain the cleanliness of all equipment, areas, and workstations.
- Perform other tasks as needed for the department or organization.
Qualifications:
- High school diploma or general education degree (GED) required.
- 2 years of experience in dental field and insurance knowledge is required.
- Experience working in diverse community and understanding of multi-cultural beliefs and practices is a plus.
Physical Requirements:
- Frequent standing and walking for up to 80% of the work day or shift.
- Some lifting, pushing or pulling required up to 30 pounds.
- If also clinically trained:
- Ability to see and distinguish color.
- Ability to perform CPR (chest compressions).
Work Environment:
Frequent contact with patients, families, visitors, nurses and other department staff. Occasional requests to change work areas to cover another priority area to meet patient needs. Occasional stress and pressure caused by multiple simultaneous demands. May be exposed to various body fluids and/or infectious diseases. Universal precautions and techniques are included in orientation and the availability of protective wear is supported and encouraged when the employee is at risk for exposure.
