What You'll Do

Responsible for directing and managing the maintenance, repair, and security of repossessed properties. Oversees sale and pricing of personal properties. Coordinates activities with Collections personnel. Maintains the GAP, warranty, and tax refund process for the foreseeable future. The specialist will be responsible for maintaining and tracking lists of all GAP and warranty products that are paid off, sold, or repossessed. The specialist will track payments and communications regarding the refunds. The specialist will also be required to work with other departments for the purpose of improving automation and efficiency; reporting on the refund process; and identifying other means to improve communication with dealers and our membership. The specialist will also help with other collection department tasks as needed.

Who You Are

In this position you wear multiple hats:

Repossessed Property Management

  • Manage repossession activities and property disposition in compliance with policies, procedures, laws, and regulations.
  • Coordinate repossessions with Collections personnel.
  • Monitor, inventory, document, protect, and preserve repossessed property.
  • Prepare vehicles and other property for sale, including pricing, repairs, insurance claims, and lot upkeep.
  • Complete accounting functions related to sales of repossessed vehicles.

Administration of Repossessed Property Activities

  • Post vehicles for bid online.
  • Maintain repossession sale and inventory lists.
  • Keep management informed on activity, progress, and issues.
  • Participate in policy and procedure review.
  • Attend meetings and support other area personnel as needed.

GAP, Warranty, and Tax Refund Tracking

  • Review paid-off loans for remaining GAP, warranty, or tax refund balances.
  • Track refund status and identify refunds that still need to be collected.
  • Coordinate with the repossession team on refunds tied to repossessed vehicles.
  • Archive reporting to measure refund process efficiency.
  • Apply refunds to member accounts and coordinate with Accounting.

Refund Communication

  • Identify dealers and members who need refund notices.
  • Send and archive letters, texts, or calls related to GAP and warranty refunds.
  • Follow up with nonresponsive dealerships.

Process Improvement and Automation

  • Identify inefficiencies in refund collection and communication processes.
  • Work with other departments to improve efficiency and automate where possible.
  • Participate in meetings related to process improvements.

Relationship Management

  • Maintain professional relationships with borrowers, buyers, the community, and trade organizations.
  • Respond to member and buyer inquiries.
  • Resolve requests, problems, and concerns promptly.
  • Protect and maintain the Credit Union’s professional reputation.

Related Duties

  • Stay current on repossession trends, practices, and procedures.
  • Assist the Collections department with additional related tasks.
  • Works a regular and predictable schedule.

What Success Looks Like

The ideal candidate will have a high school diploma or equivalent, with additional business training preferred. Knowledge of GAP and warranty products is helpful, along with a strong understanding of repossession policies, legal requirements, credit union loan products, insurance contracts, property values, property maintenance, deposit programs, account ownership, and casualty insurance.

 Two to three years of related experience is preferred but not required. Success in this role requires accuracy, thoroughness, strong communication and telephone skills, public relations and negotiation ability, independence, sound judgment in stressful situations, and proficiency with related computer applications and business equipment.

The position also requires the physical and mental ability to perform detailed administrative and property-related work, including frequent communication, repetitive hand and wrist movement, average hearing and vision, and occasional exertion of up to 30 pounds for minor vehicle-related duties. Candidates should be comfortable working outdoors in all weather conditions, interpreting varied instructions, using basic math, calculating ratios and percentages, and reviewing reports or graphs.

Compensation will be based on experience, qualifications, and market alignment. The total package includes a competitive base salary, annual incentive opportunity tied to personal and organizational performance, and comprehensive benefits consistent with UCCU's commitment to its employees.
