Job Posting Title: Event Management Coordinator Position Type: Professional / Unclassified Department: LSUAM FA - Ops - AS - Events and Promotions (Jennifer Doerfler (00017884)) Work Location: 0310 LSU Student Union Pay Grade: Professional Hourly Job Description: Job Summary Responsible for scheduling meetings and events within the facilities maintained by LSU Auxiliary Services; for communicating University and Departmental policies and procedures with current and potential clients; for assisting clients with necessary approvals; for determining billing categories and facilitating the billing and payment processes; and for supervising the Event Management student employees. Job Responsibilities The Event Management Coordinators are responsible for managing the calendar of all events and meetings in spaces maintained by LSU Auxiliary Services. The Event Management team is responsible for overseeing the accuracy of the event management scheduling software, communicating University and Departmental policies, assisting clients with necessary approvals, determine billing categories, soliciting feedback from clients, and overall assisting clients with confirming their activities in our facilities. This position is specifically responsible for scheduling and communicating with departments and off-campus organizations. 40% This position obtains set up needs from clients for meetings and events within facilities maintained by LSU Auxiliary Services. For larger events, this could include coordinating a production meeting with the client to ensure a successful event. This position is responsible for creating and distributing appropriate communications, including diagrams and task lists, for appropriate staff or student employees. 20% This position serves as a liaison between clients and appropriate staff or student employees. To ensure a smooth operation and execution of events, this position communicates client expectations to staff setting up the events and also communications staff capabilities to clients. 10% This position determines appropriate billing category of client and event based on University and Departmental policy. This position will craft and communicate final billing invoices and work closely with the Auxiliary Services business team on processing payments and maintaining up-to-date payment records. This position also facilitates contracts and facility use agreements for off-campus organizations hosting events within our spaces. 15% This position is responsible for recruiting, training, supervising, and evaluating the Event Management student employees. These students are responsible for maintaining appropriate customer service and general administrative support. 10% Other duties as assigned. 5% Minimum Qualifications: Bachelor's Preferred Qualifications: Bachelor's with related experience in event management, event services, event coordination, event production, or event specific administrative work as a professional staff member or student employee Additional Job Description: Special Instructions: An offer of employment is contingent upon a satisfactory pre-employment background check and physical.
