Job Overview

We are seeking a highly organized, professional, and proactive Executive Administrative Assistant to provide comprehensive administrative support to the President & CEO. The ideal candidate will be a trusted partner who can manage multiple priorities, maintain confidentiality, and facilitate efficient daily operations in a growing, non-profit organization.

Responsibilities

  • Manage complex calendars, schedule appointments, and coordinate meetings with precision using calendar management tools.
  • Handle multi-line phone systems with professionalism, providing excellent customer service and client communication.
  • Prepare, proofread, and edit correspondence, reports, and presentations using Microsoft Office and Google Workspace productivity software.
  • Organize and maintain filing systems, both digital and physical, ensuring quick access to important documents.
  • Screen and prioritize incoming communications, including emails, phone calls, and correspondence.
  • Prepare reports, presentations, meeting agendas, and other executive-level documents.
  • Coordinate board meetings, committee meetings, and executive staff meetings.
  • Take meeting minutes and follow up on assigned action items.
  • Assist with project management and special initiatives as directed.
  • Maintain confidential records and sensitive information with discretion.
  • Coordinate events, conferences, and organizational functions.
  • Serve as a liaison between the executive office, staff, board members, stakeholders, and external partners.
  • Support front desk operations by greeting visitors, managing phone etiquette, and directing inquiries efficiently.
  • Coordinate travel arrangements, including booking flights, accommodations, and preparing itineraries for executives.
  • Perform clerical duties such as typing, proofreading, and managing spreadsheets to support office management activities.
  • Maintain confidentiality of sensitive information while delivering exceptional customer support to clients and internal teams.
  • Track deadlines and ensure timely completion of key deliverables.
  • Support executive decision-making by gathering and organizing information and data.

Qualifications

  • Associate's or Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • Minimum of 3–5 years of experience supporting senior executives.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams).
  • Ability to maintain strict confidentiality and exercise sound judgment.
  • Demonstrated ability to work independently and manage competing priorities.
  • Proven experience in office management or administrative roles with a strong background in executive support.
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Experience handling multi-line phone systems and providing outstanding customer service.
  • Exceptional attention to detail for proofreading documents and managing schedules accurately.
  • Strong time management skills with the ability to prioritize tasks efficiently.

Preferred

  • Experience supporting C-suite executives, nonprofit executives, or corporate leadership.
  • Familiarity with board governance and board meeting coordination.
  • Project management experience.

Pay: $24.05 - $28.97 per hour
