Position Summary
Folsom Lake Nissan is seeking a detail-oriented and motivated Office Associate to join our dealership team. In this role, you will work directly alongside the Office Manager to ensure the smooth, accurate, and efficient operation of our dealership's administrative and accounting functions. Key Responsibilities
- Support the Office Manager with daily administrative and accounting tasks to ensure timely and accurate dealership operations.
- Process and reconcile vehicle deal paperwork, including new, used, fleet, and finance transactions.
- Assist with accounts payable and receivable, including posting and reconciling invoices and vendor payments.
- Perform accurate data entry and maintain records within the Dealertrack DMS platform.
- Prepare and process daily deposits, bank reconciliations, and cash management functions.
- Assist with monthly financial statement preparation and closing procedures.
- Maintain organized and up-to-date filing systems for both physical and digital records.
- Communicate professionally with sales, finance, and service departments to resolve deal or accounting discrepancies.
- Process title and registration paperwork in compliance with California DMV requirements.
- Ensure compliance with dealership policies, manufacturer guidelines, and applicable regulations.
- Assist with payroll data entry, commissions tracking, and related reporting as needed.
- Perform general office duties including answering phones, ordering supplies, and supporting staff as directed by the Office Manager.
Qualifications
Required
- High school diploma or equivalent; associate's or bachelor's degree in accounting, business, or a related field is a plus.
- Minimum 1–2 years of experience in an office, administrative, or accounting support role.
- Strong proficiency in Microsoft Office Suite, particularly Excel and Word.
- Exceptional attention to detail and a high degree of accuracy in data entry and recordkeeping.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong organizational skills and a proactive, team-oriented work ethic.
- Excellent written and verbal communication skills.
- Must be able to maintain confidentiality of sensitive financial and personnel information.
Preferred
- Prior experience working in an automotive dealership office environment.
- Hands-on experience with Dealertrack DMS — including deal posting, accounting modules, and reporting functions.
- Familiarity with automotive F&I documentation, titling, and DMV processes in California.
- Knowledge of general dealership accounting practices, including floorplan, reserve, and manufacturer statements.
Work Environment
- This position is based on-site at Folsom Lake Nissan in Folsom, California.
- Standard dealership business hours; some flexibility or overtime may be required during month-end closing.
