About the role
Serve as the point person for new unit order intake, order entry, and shipment logistics. Coordinate with distributors, key accounts, freight forwarders/domestic carriers, and internal teams to ensure the right unit ships on time with complete documentation and accurate billing handoffs. Handle order changes, acknowledgments, reporting, and support special projects.
Key responsibilities
- Receive and process new unit orders; partner with distributors/key accounts to secure best-available delivery of the correct unit.
- Coordinate shipment logistics with designated transport partners (freight forwarders and domestic carriers).
- Administer orders from receipt through shipment and transfer paperwork to Accounting for billing.
- Handle cancellations, order revisions, transfer billings, and return-unit processing.
- Manage key-account order entry issues: quote production lead times, verify unit specifications, maintain spec records/reports, and follow up on order acknowledgments.
- Interface daily with cross-functional teams (sales, service, engineering, scheduling).
- Create pro forma invoices, share with distributors, and follow up on collections; perform memo-billing functions as needed.
- Assist the Master Production Scheduler with current/future equipment needs for inventory and allocated orders; compile monthly reports.
- Support special accounts/projects and act as backup for other departments as needed; maintain safe, clean work practices.
Qualifications
- High school diploma or equivalent (GED).
- 1 year of related work experience in manufacturing environment (order entry, inside sales support, logistics coordination, or similar).
- Proficient with clerical/administrative tasks and maintaining accurate records; strong communication with internal and external partners.
- Physical/working conditions: light material handling; normal office/plant conditions; negligible hazards.
