Job Overview
We are seeking a dedicated and organized Secretarial Assistant to support our team in various administrative tasks. This role is essential for ensuring smooth office operations and providing excellent customer service. The ideal candidate will possess strong clerical skills, be proficient in office management, and demonstrate the ability to handle multiple tasks efficiently.

Responsibilities

  • Manage front desk operations, including greeting visitors and handling inquiries.
  • Operate multi-line phone systems to answer calls, direct inquiries, and provide customer support.
  • Perform data entry, filing, and maintain organized records for easy access.
  • Assist with calendar management, scheduling appointments, and coordinating meetings.
  • Utilize Microsoft Office and Google Workspace for document creation, spreadsheets, and presentations.
  • Conduct proofreading of documents to ensure accuracy and professionalism.
  • Provide administrative support to team members as needed, including bookkeeping tasks using QuickBooks.
  • Maintain a clean and organized office environment to enhance productivity.
  • Exhibit excellent phone etiquette while communicating with clients and colleagues.

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent typing skills with attention to detail for accurate data entry.
  • Previous experience in office management or clerical roles is preferred.
  • Bilingual abilities are a plus for effective communication with diverse clients.
  • Familiarity with multi-line phone systems and customer service best practices.
  • Knowledge of QuickBooks for bookkeeping tasks is advantageous.
  • Experience as a dental receptionist or medical receptionist is beneficial but not mandatory.
  • Strong time management skills to prioritize tasks effectively in a fast-paced environment.
