We are seeking a part-time Assistant Park Manager to support the Park Manager in overseeing daily operations, tenant communications, vendor coordination, and general park administration. This role is ideal for someone who is organized, detail-oriented, adaptable, and enjoys working with both people and operations.
Position Summary
The Assistant Park Manager will work closely with the Park Manager to help ensure smooth day-to-day park operations. Responsibilities include handling administrative tasks, supporting tenants, coordinating vendors, assisting with compliance and site oversight, and helping maintain overall community satisfaction.
This role also serves as a backup to the Park Manager when needed and will be cross-trained in multiple areas of park operations to provide flexible support across administrative, operational, maintenance coordination, utility oversight, and tenant-facing functions.
The position reports directly to the Park Manager, with dotted-line communication to the Owner/Consultant.
Key Responsibilities
1. Tenant Support & Leasing Assistance
- Serve as a secondary point of contact for tenants, handling routine questions, service requests, and general communications.
- Assist tenants with service requests, move-in/move-out documentation, and basic onboarding support.
- Help enforce lease terms and park rules under the direction of the Park Manager.
- Foster a positive community atmosphere through courteous, responsive, and professional interaction
2. Rent Collection & Administrative Tasks
- Assist with rent and fee collection and record payments in property management software (e.g., AppFolio, Google Sheets).
- Prepare and deliver rent reminders, late notices, and follow-up communications.
- Monitor tenant accounts and flag issues or irregularities for review.
- Maintain accurate documentation of payment plans, tenant correspondence, and account activity.
3. Vendor & Contractor Coordination Support
- Schedule recurring vendors (landscaping, pest control, trash service).
- Conduct quality checks after vendor visits and report findings.
- Collect and organize vendor invoices, receipts, and quotes.
- Assist in following up with contractors regarding timelines, access, and completion of work.
4. Utility & Compliance Assistance
- Record and log utility readings (e.g., well, wastewater, electric, or other applicable systems).
- Maintain files, logs, and checklists related to operational and regulatory compliance.
- Help monitor deadlines for inspections, renewals, and service requirements.
- Notify the Park Manager of compliance concerns, contractor needs, or upcoming deadlines.
- Assist in learning and supporting park utility systems, including water/wastewater treatment and propane operations, as applicable.
5. Park Model & Site Oversight
- Assist with the delivery, setup, and readiness of new park models or units.
- Perform basic make-ready checks, including cleanliness, supplies, keys, and general presentation.
- Keep site status logs updated, including occupied, vacant, under repair, and turn-ready units.
- Support unit turnover coordination as needed.
6. Financial & Operational Reporting
- Prepare weekly summaries of collections, tenant issues, and vendor activity.
- Assist with expense tracking and receipt organization.
- Update shared operational logs and checklists.
7. General Operations & Community Upkeep
- Walk the property regularly to identify maintenance needs, trash, safety concerns, or compliance issues.
- Help ensure common areas such as the clubhouse, laundry room, office, and restrooms remain clean, stocked, and presentable.
- Support seasonal preparation tasks such as storm readiness, freeze precautions, and emergency preparation.
- Report visible property issues and help coordinate timely follow-up
8. Staff Scheduling & Support
- Help coordinate scheduling for part-time staff (maintenance, housekeeping, office).
- Track staff tasks and ensure proper reporting to the Park Manager.
- Assist with training new staff on park policies and procedures.
Cross-Training & Operational Support
- Become cross-trained in multiple areas of park operations, including office administration, tenant communication, vendor coordination, basic site readiness, compliance tracking, and operational reporting.
- Provide support in other areas of the park as needed based on business demands, staffing needs, or emergencies.
- Assist with coverage for administrative, operational, or tenant-facing responsibilities during absences, peak periods, or special projects.
- Maintain flexibility and willingness to learn various park systems and workflows to support overall efficiency.
Requirements & Qualifications
- Strong organizational, communication, and follow-up skills.
- Proficient with basic computer programs; familiarity with AppFolio or similar property management software is a plus.
- Ability to multitask, prioritize, and maintain attention to detail in a fast-paced environment.
- Comfortable working outdoors and walking the property as needed.
- Must be dependable, professional, adaptable, and customer-service oriented.
- Willingness to be cross-trained across different areas of park operations.
- Willingness to pursue continuing education and licensing related to water/wastewater treatment and propane operations as required for the role.
Schedule & Expectations
- Part-time: 15–20 hours per week (varies by season and operational needs).
- Regular on-site presence required, including occasional evenings or weekends during peak periods.
- Flexible availability to assist during move-ins, turnovers, or emergencies.
