Currently, we are seeking a highly organized and detail-oriented individual to join our team as an administrative assistant. This multifaceted role requires proficiency in various administrative tasks, including student record management, school registration processing, data coordination, scheduling support, and general administrative duties. The ideal candidate should possess excellent organization skills, attention to detail, and the ability to work efficiently in a fast-paced environment.
Responsibilities:
Student Record Management:
- Obtain and review student records, ensuring accuracy and compliance with relevant regulations.
- Maintain a systematic filing system for student records, ensuring confidentiality and security.
- Process student enrollments, withdrawals, and transfers in accordance with established procedures.
School Registration Processing:
- Assist with the registration process for new and returning students, verifying required documentation and data accuracy.
- Coordinate with parents/guardians to obtain necessary information and complete registration forms.
- Input registration data accurately into the school's student information system.
Administrative Support:
- Answer phones, handle inquiries, and provide information to students, parents, and staff.
- Schedule meetings, appointments, and events, ensuring all parties are notified in a timely manner.
- Manage deadlines and reminders, ensuring tasks and projects are completed on time.
- Prepare and distribute correspondence, memos, and other documents as required.
- Assist with general administrative duties, such as photocopying, scanning, and filing.
Data Coordination:
- Enter purchase requisitions and maintain accurate records of expenditures.
- Compile and organize data from various sources, ensuring data integrity and accuracy.
- Generate reports and statistical analysis using Microsoft Excel and other office software.
- Assist in the coordination and preparation of data for reports, presentations, and audits.
- Submit timely and accurate reports on behalf of the school in compliance with STARS reporting guidelines by the NMPED
Special Education Scheduling Support:
- Collaborate with special education staff to develop and maintain individualized student files.
- Conduct IEP records searches and organize by annual review and 3-year reevaluation deadlines.
- Assist in scheduling special education meetings, ensuring all relevant parties are available and notified, including notifications in writing.
- Coordinate with teachers, parents, and administrators to schedule specialized services and accommodations.
- Maintain accurate records of special education schedules and update changes as necessary.
Requirements:
- A willingness to offer a solid commitment to the Los Puentes Mission.
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- Proven experience in administrative support roles in an educational setting; experience with STARS reporting strongly preferred..
- Strong proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Excellent organizational and time management skills with the ability to multitask effectively.
- Exceptional attention to detail and accuracy in data entry and record management.
- Strong verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong interpersonal skills and the ability to work collaboratively in a fast-paced, team-oriented environment.
- Familiarity with student record management systems and database software is a plus.
