Examples of Duties
- Provides administrative support for a department or division in one or more of the following areas as assigned, which may include budget preparation and administration, contract monitoring, and personnel administration
- Conducts research and prepares reports requiring compilation and analysis of data
- Conducts forecasting analyses and studies
- Develops program management, data tracking, and other software applications on personal computers
- Develops and implements records maintenance and analysis systems
- Monitors projects and programs
- Confers with internal and external stakeholders regarding various matters as assigned
- Represents the department at meetings, committees, and conferences
- Performs and formulates financial, administrative, policy, and organizational analyses and recommendations
- Advises management and staff regarding performance and funding matters
- Monitors assigned departmental operating and capital budgets
- Prepares recommendations for proposed expenditures of capital funds
- Researches and recommends appropriate action regarding performance and budget variances
- Reviews grant requests
- Monitors grant expenditures

Required

- Bachelor's Degree in Business, Public Administration, or a related field
- One year of relevant experience performing basic or entry-level budgeting and/or administrative work
- A valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions

- Experience supporting high-level executives (include titles of executive(s) supported) on coordinating complex and dynamic Executive meetings and schedules, special projects, including research, cross-functional coordination, preparation of executive materials, tracking deliverables, and ensuring timely execution of organizational priorities
- Experience preparing Travel Authorizations, Expense Reports and handling high-volume travel arrangements
- Experience managing day-to-day administrative support within a large, complex, and diverse organization
- Experience demonstrating the ability to manage highly confidential and sensitive information with discretion, sound judgment, and strict adherence to privacy and organizational protocols
