JOB TITLE: Administrative Assistant

GENERAL DESCRIPTION:

We educate and support young people, ages 14-25, who are looking for a second chance to earn their high school diploma. College and Career Academy serves minor students with three small campuses (60-120 students per campus) located in Compton, Watts, and Inglewood. College and Career Academy serves young adult students between the ages of 18-25 with three campuses in South LA, Pico Union, and Long Beach. We target students who were not experiencing success in their traditional larger high schools. We have great success with our students—so far this year, 90% of our seniors have graduated! Why? Because we have small class sizes (15-25 students per class), we have a dedicated and passionate staff for whom reaching this population is a mission and not just a job, and we partner with a great non-profit organizations who provide employment, case management, and counseling services for our students. School receptionists serve as the gatekeepers at our high schools. The Administrative Assistant adds value to the organization and helps to promote its mission by performing the requirements of the position with the highest level of integrity and respect for others. The importance of confidentiality must be demonstrated and cannot be compromised. This position provides a variety of clerical support to the staff and the job is a blend of customer service, clerical and secretarial work. Other duties may be assigned, as required.

SPECIFIC DUTIES:

  • Answer telephones in a timely, friendly fashion; screens calls; return calls as directed with requested information; direct calls to the appropriate staff
  • Greets all incoming students, families and guests respectfully and professionally. Responds to questions about school services and refer students and visitors to appropriate staff.
  • Request transcripts from other schools, make follow up phone calls to schools, distribute diplomas and assist registrar in ordering and tracking records of former graduates.
  • Create school flyers and calendars for upcoming events. Type routine correspondence, memoranda, reports, bulletins, and other office documents from rough drafts or oral instructions provided by administration.
  • Maintain office supplies and report inventory needs to the principal.
  • Assist in the collection and organization of school enrollment documents.
  • Perform routine clerical duties such as copying, sorting, scanning, and filing documents.
  • Track and note students arriving to school late. Collect and update weekly attendance logs.
  • Contact parents and students with regard to attendance and absences.
  • Assist school personnel with the lunch program including setting up meals, ordering, and tracking meal service in an online system.
  • Attend some school meetings.
  • Sort and/or stamp mail
  • Supervise student workers including having them sign in and out.
  • Perform related duties as assigned

QUALIFICATIONS:

  • High School Diploma or equivalency from an accredited institution.
  • Competent level of computer skills (primarily Microsoft Office and Google Suite)
  • Interpersonal and communication skills that promote effective and positive relationships at all levels
  • Competent level of knowledge about office equipment.

IMMEDIATE SUPERVISOR: School Principal

ADDITIONAL GENERAL QUALITIES and QUALIFICATIONS

1. Able to sit or stand for extended periods of time

2. Able to lift supplies and materials weighing up to 25 pounds. 3. Able to read, comprehend and apply job-related written material and make decisions in accordance with applicable school system policies and procedures.

4. Able to compute percentages and perform basic arithmetical calculations (addition, subtraction, multiplication and division of whole numbers, fractions and decimals).

5. Able to communicate effectively, orally and in writing.

6. Able to write legibly.

7. Able to honor confidential information.

Pay: $19.00 - $27.00 per hour

Work Location: In person
