The LA County Board of Supervisors recently
declared a local state of emergency for homelessness (Download PDF reader), and the County is working to revise and expand our response to help all who are affected. We are looking for qualified and passionate individuals to help us in the mission of addressing issues like housing, mental health, and substance use. The Department of Mental Health is seeking qualified candidates to fill emergency Administrative Assistant I vacancies related to the homelessness crisis.

Under the emergency order, applicants who meet the requirements may be hired for an initial period of up to 90 days, with an opportunity for permanent County employment.

During your initial work period, you will be assessed on your work performance. This assessment will be weighted 100%.

Those who successfully pass the assessment will be considered for permanent appointment to Administrative Assistant I.


DEFINITION:
Analyzes and makes recommendations for the solution of the less complex problems of organization, program, procedures, systems, facilities planning, budget and personnel; or analyzes and makes recommendations for the solution of more difficult problems in the same areas under close supervision and guidance.

CLASSIFICATION STANDARDS:
Positions allocable to this class function as administrative generalists in the central administrative office of a County department, independently analyzing problems of relatively limited scope and difficulty following rather specific guidelines; or analyze more difficult problems of department-wide concern, under close guidance and supervision.

Essential Job Functions

  • Assists in budget preparation by drafting or revising justifications for expenditures and compiling supportive data, as assigned.
  • Analyzes budget requests for small facilities, divisional requests for additional positions, and small service and supplies or fixed assets budgets.

  • Coordinates small moves of office or shop personnel and equipment, and arranges for limited public use of County-owned facilities.

  • Checks operating reports and maintains or supervises the maintenance of administrative records.

  • Prepares or assists in preparation of reports and recommendations.

  • Assists in making studies to ascertain the efficiency, economy, and effectiveness of departmental operations, policies, and procedures.

  • Collects, analyzes, and interprets data relative to the work of the department.

Requirements

SELECTION REQUIREMENTS:

TRAINING AND EXPERIENCE:
Graduation from an accredited college -OR- One year of experience as an Administrative Aid

  • Accredited is defined as a college who has met certain quality standards set by an external, recognized accrediting agency, providing a form of assurance that the institution is reputable and provides quality education.

Administrative Aid is defined as working under close supervision, performs beginning level administrative staff work by participating, in making investigations of operating problems in a County department.

LICENSE:
A valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions.

PHYSICAL CLASS:
2 - Light: This class includes administrative and clerical positions requiring light physical effort that may include occasional light lifting to a 10-poind limit and some bending, stooping, or squatting. Considerable ambulation may be involved.

During your initial work period, the appointing department will evaluate your performance. Those who achieve a passing score on this evaluation will be considered for permanent appointment.
