Position Overview
We are seeking two compassionate and organized Volunteer Intake Specialists to serve as the first point of contact for individuals seeking assistance through LoopRoots Foundation.
This role plays a vital part in creating a positive first experience for participants by monitoring the intake mailbox, acknowledging inquiries, organizing client information, and helping ensure requests are routed to the appropriate program or team.
This position is ideal for individuals who enjoy helping others, staying organized, and supporting mission-driven work in a collaborative remote environment.

- Monitor the shared Intake mailbox during scheduled volunteer hours.
- Review new inquiries received through the website and email.
- Send initial responses using approved templates.
- Create and update participant records in Zoho CRM.
- Verify that intake submissions contain the required information.
- Route inquiries to the appropriate department or program.
- Assign follow-up tasks when appropriate.
- Maintain accurate documentation and notes.
- Escalate urgent situations according to organizational procedures.
- Maintain confidentiality and professionalism at all times.
- Strong written communication skills.
- Excellent attention to detail.
- Organized and dependable.
- Comfortable using email and web-based software.
- Willingness to learn Zoho CRM.
- Ability to work independently while collaborating with a remote team.
- Customer service, nonprofit, administrative, healthcare, or case management experience is helpful but not required.
