What are the responsibilities and job description for the Secretary/Registrar (High School) position at Lonoke School District?
ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.
- Welcome and assist visitors, students, parents, and teachers in a timely and professional manner
- Serve as a liaison for parents, students, and community
- Initiate and receive phone calls, process messages, transfer calls, and ascertain student messages are delivered prior to departure
- Provide substitutes and students with appropriate identification and/or notification
- Maintain school records and files for building, students, and administration
- Maintain eSchool data entry for student records/Cognos reports/Triand reporting
- Request student records and maintain requisition process through written documentation
- Withdraw students in eSchool once a request from another school or organization has been received and maintain written documentation regarding withdrawn students
- Print and mail student Progress Reports and Report Cards
- Distribute or supervise distribution of incoming mail
- Request substitutes through WillSub once an approved form has been submitted from administration
- Secure Employee Absentee Report form from absent staff member to accompany payroll information
- Monitor certified and classified employees’ attendance reports for submission to central office
- Manage purchase order system
- Manage monies for deposits and deliver deposits to bank
- Manage clock and bell systems
- Order office supplies
- Maintain inventory records
- Process and deliver fax messages
- Initiate intercom announcements as necessary
- Assist with fire drills
- Assist with nursing responsibilities
- Serve as confidential secretary to administration
- Maintain all student records - current and inactive
- Register new students
- Maintain data in eSchool
- Maintain attendance records
- Process and mail attendance letters
- File truancy affidavits with truancy office
- Adhere to attendance and punctuality requirements
- Display professionalism in appearance, attitude, and actions
