Academic Support Coordinator
Status: Full-time, Exempt; hybrid – minimum of 4 days in office
Reports to: Registrar

Overview
The Academic Support Coordinator will report to the Registrar and collaborate closely with the Acting Associate Dean to manage several aspects of academic programs, including monitoring registration processes, maintaining student records, and assisting students and faculty during registration periods. This individual maintains knowledge of Longy’s innovative curriculum to offer counseling on curricular requirements, course selection, and issues of academic standing. They will communicate student issues to faculty and staff, as appropriate, to foster student retention and success.
The Academic Support Coordinator will also manage the academic accommodations process ensuring students have equal access to their education. This individual will work with students that are not meeting satisfactory academic progress to create a plan for success.
Responsibilities
- Foster an atmosphere of inclusion and belonging in every student interaction to ensure equitable access and treatment.
- Assist Registrar in monitoring registration and assisting students and faculty during the registration and add/drop periods.
- Assist Registrar with maintaining student records including processing grade changes, withdraw forms, studio changes, and other registrar related forms.
- Serve as point of contact for maintaining the official student digital record including admissions documents, directory information, official communications, and other record related documentation.
- Oversee scheduling of rooms for classes each semester with guidance from the Acting Associate Dean, Facilities, and the Registrar.
- During the registration process, advise individual students on course selection in accordance with their individual goals. Identify any issue which would hinder their progress toward graduation. Notify the student and the appropriate Department Chair and provide recommendations to resolve the issue(s).
- Advise and counsel students who have been notified of academic or disciplinary probation in accordance with their Satisfactory Academic Progress (SAP) status after receiving report from Registrar. Liaise with applicable faculty as appropriate and provide options for solutions.
- Perform regular degree audits, ensuring students’ eligibility for graduation, including degree requirements, prerequisites and any needed modifications. Maintain the degree audit form for each student.
- Administer Academic Accommodations for students, including material review, meeting with students each semester, creating accommodation plans, and communicating with the appropriate faculty.
- Serve on Retention Committee to surface issues that could impact student retention and provide recommendations and create solutions in partnership with student services.
- Evaluate transfer credit requests in accordance with the Student Handbook. Communicate transfer credit plans to current and/or prospective students, their Career Coaches, Department Chairs, and the Registrar, ensuring that degree audits are updated in the process.
- With the Chair of Keyboard Studies, manage the Secondary Piano Evaluation process, including scheduling, faculty reviews, and communication with students.
- With the Chair of Composition and Theory, manage the Custom Commission completion process, including reviewing forms of completion and communication with students.
- Provided administrative support to the Acting Associate Dean including managing calendars, scheduling meetings, preparing and editing documents, and coordinating tasks for various academic program projects.
- Support planning for commencement ceremony and related events, as needed.
- Assist with any future system migrations and maintenance by supporting teams, ensuring data integrity, system compatibility, and a smooth transition through testing, troubleshooting, and user training.

Qualifications
The ideal candidate has prior administrative experience in a college or university setting and possesses patience, self-motivation, good humor, and excellent communication and customer service skills.
- 2 -3 years of experience in registration, student advising or coaching, and/or accommodations strongly recommended, conservatory setting preferred.
- Excellent organizational skills, analytical thinking/problem solving skills, and strong attention to detail.
- Prior experience with Microsoft Office Suite, Access databases, and Student Information Systems preferred.
- Ability to take initiative and perform multiple assignments concurrently in a timely manner.
- Ready to engage and thrive in a fast-paced, team-oriented workplace.

Salary : $45,000 - $50,000
