The Longwood Center for the Visual Arts (LCVA) invites applications for a Director of Administrative Operations (FA149). The LCVA is Longwood University's American Alliance of Museums-accredited art museum, located on the corner of Main and Third Streets in downtown Farmville. Its renowned collection includes outstanding examples of American, African, and Chinese Art. In particular, the museum's American Collection features 19th-, 20th-, and 21st-century works, with an impressive subset of Contemporary Folk Art and art by Virginians. Temporary exhibitions highlight historic and contemporary works of national acclaim. The permanent collection is also exhibited in all academic buildings throughout Longwood's campus, including five named galleries. The LCVA's educational programs span the breadth and depth of art and focus on engaging the public and regional schools on the importance of art in everyday life.

The Director of Administrative Operations is responsible for managing museum operations with regard to facilities, budget, and visitor services, ensuring that the standards for accredited museums from the American Alliance of Museums are met, and ensuring that Longwood University and LCVA policies and procedures are followed. This position will also assist the Executive Director with strategic and budget planning, calendar and project management, and donor, advisory board, and stakeholder relations.

Facility & Operations Management

  • Fully understand, interpret, and implement Longwood and LCVA policies and procedures, especially with regard to art facility management including but not limited to security, climate control, and safety. Ensure policies and procedures are followed.
  • Master and apply American Alliance of Museums standards and best practices, to ensure LCVA's compliance as an AAM-accredited museum.
  • Recruit, hire, train, schedule, and supervise student workers who serve as gallery attendants. Assist in onboarding new staff when needed.
  • Serve as building coordinator, log, manage, and ensure timely and accurate completion of work orders and ensure facilities are safe, clean, and well-maintained on a daily basis.
  • Provide oversight of the museum's security and environmental controls, implementing safety standards, emergency planning, training, and testing, and ensuring business continuity.
  • Keep logs of access permissions, inventoried University property, and up-to-date emergency contact information and ensure university offices have accurate information.
  • Maintain positive and proactive relationships with Longwood University offices, including facilities, campus police, and IT.

Budget & Project Management

  • Serve as the key liaison between the LCVA and Academic Affairs budget and procurement personnel.
  • Assist Executive Director and the staff in developing the annual budget plan, exhibition plan, and programming schedule; track projects to ensure schedule is met.
  • Track financial and donor contributions, budgets, and expenditures to ensure that staff remain within annual budget plans and follow budget policies and procedures.
  • Serve as the Executive Director's proxy in approval of leave time for staff and check leave balances, log approvals, ensure leave is noted on calendars.
  • Manage the Executive Director's calendar and represent the Executive Director's views to various stakeholders in his absence.

Visitor, Donor, Advisory Board, and Stakeholder Relations

  • Staff the main phone line and email account of the LCVA, responding to all inquiries in a timely, accurate, and courteous manner.
  • Maintain accurate and current database of donors, advisory board members, and museum supporters. Ensure RaisersEdge is up-to-date.
  • Communicate with and maintain positive relations with donors, advisory board members, and other University and community stakeholders.
  • Draft for Executive Director's approval and manage the production and mailing of annual gift solicitation letters and donor proposals.
  • Plan and execute donor events and LCVA Advisory Board meetings, including but not limited to invitations, scheduling, layouts, hospitality for guests, and itineraries.
  • Prepare for, attend, and write minutes of meetings of the LCVA Advisory Board and ensure committee staff liaisons write minutes and submit for committee meetings.
  • Assist Executive Director with writing and proofreading as needed.

This position is located in Farmville, Virginia, and is required to work in person on Longwood University's campus. Some night and weekend work will be required.

Job Requirements:


Required qualifications:

  • Bachelor's degree (arts or museum studies preferred) from an accredited institution.
  • Excellent interpersonal, communication (oral and written), and customer service skills. A high degree of professionalism is required.
  • Excellent organizational and project management skills, with an eye for detail. Demonstrated ability to manage multiple tasks and projects simultaneously.
  • Ability to work with all types of constituents including University and corporate leaders, donors, faculty, students, administrators, community members, colleagues, schoolteachers, and volunteers.
  • Must work some nights and weekends as needed.

Preferred qualifications:

  • Master's degree in the field of arts or museum studies from an accredited institution.
  • Proven success in managing an organizational budget.
  • Experience working in a museum setting and familiarity with AAM accreditation standards.
  • Prior work experience in a university or college setting.

Additional Information:


This is a full-time, administrative & professional faculty, exempt position. The anticipated salary range for this position will be $62,000 to $70,000 annually. A successful fingerprint-based criminal background investigation is required. AmeriCorps, Peace Corps, and other national service alumni are encouraged to apply.
